Job Description

We are looking for a detail-oriented Administrative Office Coordinator to support permit operations within a transportation-focused environment in California. This Contract position is ideal for someone who enjoys keeping office processes organized, assisting the public, and handling a steady flow of administrative work with accuracy. The role will contribute to permit intake, document processing, and front-line customer support while adapting to office tools and workflows.
Responsibilities:
  • Provide day-to-day administrative support for the office, including document handling, record maintenance, and general clerical coordination.
  • Assist with receiving, reviewing, and processing permit applications to help ensure timely intake and issuance.
  • Enter application details and related information into office systems with a strong focus on accuracy and completeness.
  • Learn and use the permit application database to support workflow tracking and routine administrative tasks.
  • Respond to incoming calls and in-person inquiries courteously, offering helpful service to applicants and internal stakeholders.
  • Support reception coverage by greeting visitors, directing questions, and maintaining an organized front office environment.
  • Coordinate paperwork and status updates for permit-related requests while following established procedures and timelines.
