Job Description
Description We are looking for a detail-oriented Administrative Office Coordinator to support permit operations within a transportation-focused environment in California. This Contract position is ideal for someone who enjoys keeping office processes organized, assisting the public, and handling a steady flow of administrative work with accuracy. The role will contribute to permit intake, document processing, and front-line customer support while adapting to office tools and workflows.
Responsibilities:
- Provide day-to-day administrative support for the office, including document handling, record maintenance, and general clerical coordination.
- Assist with receiving, reviewing, and processing permit applications to help ensure timely intake and issuance.
- Enter application details and related information into office systems with a strong focus on accuracy and completeness.
- Learn and use the permit application database to support workflow tracking and routine administrative tasks.
- Respond to incoming calls and in-person inquiries courteously, offering helpful service to applicants and internal stakeholders.
- Support reception coverage by greeting visitors, directing questions, and maintaining an organized front office environment.
- Coordinate paperwork and status updates for permit-related requests while following established procedures and timelines. Requirements
- Experience in administrative support, office coordination, or a similar clerical role.
- Ability to manage inbound calls, front desk interactions, and general customer service responsibilities effectively.
- Strong data entry skills with careful attention to detail and accuracy.
- Comfortable learning new software tools and working within a permit or application-based system.
- Effective written and verbal communication skills in an office setting.
- Ability to organize multiple tasks, prioritize work, and meet deadlines in a fast-paced environment.
- Spanish language skills are a plus for supporting a diverse customer base.
