Full Job Description Definition:
Under general supervision, to act as secretary to the school principal; to perform a wide variety of responsible clerical work; and to do related work as required. Positions in this class are characterized by a high degree of public and student contact. The secretary must have the ability to meet the public and to work effectively and cooperatively with those contacted in the course of duty. In addition to keeping a variety of records and answering questions related to school policy, incumbents perform secretarial work for a school administrator.
Essential Duties and Responsibilities:
Acts as secretary to a school administrator; schedules appointments and screens visitors; takes and refers messages for supervisor, teaching staff, the classified staff, and students Gives information to the public by telephone, email and in person regarding school matters Independently answers routine correspondence not requiring the principal's attention Keeps records of student attendance and makes regular reports of attendance to the District Office Maintains other student records including cumulative records, health and emergency records, and registration, transfer records, and additional first day packet forms Types from oral directions, rough drafts, copy, or notes a variety of materials including letters, reports, tests, and memos Receives and accounts for lunch money, student activity funds and other money. Telephones and confers with parents regarding pupil's absences and other matters of student welfare Administers minor first aid to students in the absence of the school nurse. Runs duplicating work Assists with student information system (SIS) grading, scheduling, progress reports, and report cards Maintains Associated Student Body (ASB) records and is familiar with ASB policies and procedures Coordinates substitutes and runs Aesop reports to produce sub time cards Prepares and enters purchase requisitions in Escape financial system Orders, receives, distributes, and inventories school supplies Locates and notifies parents of illness or injury to students Requests records on new students and forwards records of transferring students Posts information to student records Tracks information concerning employee absences Operates office equipment such as adding machines, computers, copy machines, laminator and calculators Issues keys to school site facilities to appropriate personnel And maintains key logs Other related duties as assigned
Knowledge and Abilities:
Knowledge of modern office practices and procedures Knowledge of business correspondence including record keeping and filing systems Ability to operate standard office equipment Knowledge of receptionist and telephone techniques Ability to letter and report writing; business English, including vocabulary, correct grammatical usage and punctuation Ability to perform clerical work with speed and accuracy without immediate supervision Ability to learn, interpret, and apply school rules and regulations Maintain the confidentiality of school related informationAbility to make arithmetical calculations with speed and accuracy Ability to prepare and maintain accurate records and reports Proficient typing skills Ability to understand and carry out oral and written instructions Ability to establish and maintain cooperative relationships with students, parents, administrative officials, and others contacted in the course of work
Education and Experience:
High school diploma or Equivalent Two years of clerical and typing experience including some work in a position involving public contact Willing to attend training sessions on topic related to duties Bookkeeping experience preferred
Required Licenses/Certificates:
Criminal Justice/Fingerprint clearance Mandated Reporter - required annually Sexual Harassment prevention training Verification of TB clearance
Pay:
$22.72 - $25.05 per hour Expected hours: 40.0 per week
