ABOUT US
Bioair Mechanical & Plumbing is a fast-growing commercial HVAC and plumbing contractor with more than 30 years of experience serving San Diego County. Our continued growth has been driven by a responsive, hardworking team both in the field and in the office. As we continue to expand, we are looking for a highly organized and motivated Administrative & Service Coordinator to help keep our service operations running efficiently. This position is ideal for someone who is a strong communicator, comfortable working in a fast-paced service environment, and able to stay on top of emails, active jobs, technicians, and day-to-day administrative responsibilities. Compensation will be determined based on experience, skill level, and background.
RESPONSIBILITIES
Monitor technicians and active job cards throughout the day using field service management software Communicate with technicians regarding job status, scheduling, documentation, and outstanding items Monitor and help manage incoming emails and service-related requests Provide dispatch and scheduling support as needed Assist with coordinating ongoing service, maintenance, and project work Create and maintain Excel spreadsheets, Word documents, electronic folders, and other company records Review jobs for missing information, documentation, or required follow-up Help ensure open jobs continue moving toward completion and do not fall through the cracks Communicate professionally with customers, technicians, vendors, and other office staff Assist management and the office team with additional administrative responsibilities as needed
QUALIFICATIONS
Strong Microsoft Office skills, particularly Excel, Outlook, and Word Experience using field service management, dispatching, CRM, or similar software preferred Previous experience working for an HVAC, plumbing, construction, property management, or other service-based company strongly preferred Strong written and verbal communication skills Excellent organization and attention to detail Ability to manage multiple priorities in a fast-paced environment Comfortable communicating directly with field technicians and following up when information is needed Self-motivated and able to work independently Dependable, proactive, and willing to take ownership of responsibilities Motivated to learn and advance within the company College degree preferred, but relevant experience may be considered in place of a degree

Pay:
$20.00 - $28.00 per hour Expected hours: 30.0 - 40.0 per week
