CONDITIONS OF EMPLOYMENT
This position serves District-Wide; applicants may be assigned to any district facility. Work hours and worksite locations are subject to change depending on department needs. A six-month probationary period must be successfully completed before the selected candidate is considered a permanent employee of the district. Receives and screens visitors in a professional and welcoming manner; answer the telephone; schedule appointments, provide information and/or guide visitors to the appropriate staff or department; distribute incoming and outgoing mail Provide administrative support to departments as needed; assist the department with administrative needs, establishing office procedures as well as ensuring collaboration and smooth operations across all departments; provide seamless service for visitors, students, and employees at the campus Establish and maintain cooperative and effective working relationships with others, including those from a diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty, and staff Prepare and review reports, requisitions, and statistical data/materials which require the use of some independent judgment and confidentiality Attends meetings and takes minutes as needed, transcribe, duplicate, and distribute minutes of meetings as appropriate, compiles and distributes meeting evaluation reports Organizes office activities; performs varied and specialized typing, editing and proofreading correspondence including letters, memorandums, procedure manuals and reports; trace clerical processing errors, make copies; maintain files, and record information into computer system, ensuring accuracy and maintaining confidentiality Operate a personal computer with access to faculty and student records and administrative files; utilize word processing, publishing, electronic spreadsheets and other related software applications, and calculators to distribute information Maintain a clean, organized, and welcoming front desk and reception area Order and maintain office supplies, prepare purchase requisitions in accordance with approved procedures, process and follow up on work orders, schedule maintenance and repair of equipment Review records of hours worked; maintains records for classified staff, adults, students, or hourly staff assigned to the department; prepares and processes attendance and time sheets Assist with the preparation and development of the department budget, monitor, and maintain records of expenditures, including review of requisitions for proper account numbers and check account balance for sufficient funds; prepare transfers as needed Assist in the coordination/facilitation of special projects (such as receptions, conference attendance); facilities use and events; maintain calendar of activities; district wide room scheduling; coordinate travel arrangements; prepare forms for approval, prepare, and distribute materials Train and provide direction and guidance to lower-level classified staff and student workers assigned to the department Maintain and monitor department website Perform other related duties as assignedKNOWLEDGE, SKILLS, AND ABILITIES
The incumbent should possess knowledge of: Correct grammar, spelling, and punctuation Office methods, procedures, and practices The incumbent should possess skills in: Excellent Customer Service Working effectively as a team member Meeting schedules and timelines Communicating effectively both orally and in writing Maintaining documentation and records Handling multiple assignments simultaneously and setting priorities based on customer needs The incumbent should possess the ability to: Coordinate many different duties, determine the relative importance of each, set deadlines and complete projects accordingly Quickly learn, independently interpret, and apply a variety of complex academic/organizational policies and procedures Trace clerical processing errors Explain a variety of complex procedures and policies Perform complex administrative work involving independent judgment, accuracy, and speed Establish format and spatial relationships for correspondence, charts and reports using computer word processing, spreadsheet, and/or database programs Prepare clear and concise correspondence of a routine nature Screen mail, telephone calls and visitors Perform arithmetic computations Establish and maintain cooperative and effective working relationships with others, including those from diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty, and staffQUALIFICATIONS AND REQUIREMENTS MINIMUM QUALIFICATIONS A
high school diploma or GED; AND Four (4) years of professional experience in general clerical work;INCLUDING
Two (2) years performing professional administrative duties; AND Demonstrated sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students and staff- To ensure a fair and compliant screening process, application materials must only include minimal personal information.
