Administrative Coordinator Position Overview:
We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team. In this role, you will be responsible for overseeing and managing various administrative tasks, including tracking and processing purchase orders, change orders, and field documentation. The ideal candidate will possess strong computer skills, effective communication abilities, and excellent organizational capabilities to ensure smooth operations. Knowledge of industry-related software and proficiency in Spanish is a plus.
Key Responsibilities:
Manage and process Time & Material (T&M) tickets from the field, ensuring accuracy and timely submission. Oversee and process field request authorizations. Issue and maintain accurate records of change orders and update change order logs. Coordinate change order approvals and ensure compliance with internal procedures. Issue and track purchase orders, keeping organized and up-to-date records. Prepare and maintain monthly administrative reports for purchase orders, change orders, field requests, and T&M tickets. Provide support for iPad device management, including fielding requests, ordering, and tracking inventory. Assist in processing new contracts, ensuring all documentation is complete and accurate. Oversee Procore administration, including job setup, closeout, adding/removing employees, and implementing new features or tools as required.
Key Qualifications and Skills:
Strong proficiency with computers and technology. Preferred experience with Microsoft Excel , Procore , Foundation , and Bluebeam (training will be provided, if necessary). Excellent written and verbal communication skills, with the ability to work effectively with teams and stakeholders. Bilingual (English/Spanish) skills a plus. Highly organized, detail-oriented, and efficient in managing multiple tasks simultaneously.
