Job Description
The Role:
The Administrative Assistant must understand the importance of providing outstanding customer service and be able to interact effectively with owners, residents, prospective residents, and vendors. The Administrative Assistant must have a willingness to learn and grow. This position requires multitasking, technical proficiency, attention to detail, and accuracy. Job Duties Answer inbound calls and detailed messages Retrieve voicemails and emails regularly Direct company and transaction inquiries, questions, or issues to the proper staff member Maintain accurate information in Appfolio, updating the database promptly for properties, owners, residents, applicants, and vendors. Support the management team with additional diverse tasks as required, demonstrating flexibility and adaptability. Ensure the satisfactory completion of maintenance repairs by daily contact with residents regarding Service Requests. Assist with property inspections (Move-In, Move-Out, Annual) Swiftly address maintenance service requests, communicate effectively with residents about community matters, repairs, rent, and rules. Document all correspondence with owners, renters, vendors, etc. Work directly with Property Manager and Broker to schedule showings Collect and write receipts for rent and forward to manager/agent for processing Process inbound and outbound mail as needed Manage files including creating new and storing old files and keeping record of files stored Process, organize, scan, and file documents, such as applications, leases, and legal notices, with precision and efficiency. Handle overflow of customer inquiries and support the scheduling of move-ins, diligently following up on prospects. Office inventory and supply ordering as necessary Assist with other administrative tasks and projects as required Generate letters for property updates to the tenants Maintain Vendor documents and keep vendor profiles updated Assist with utility turn over scheduling Assist in preparing leasing documents Adherence to Property Management Rules, Regulations, and Guidelines Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, and all other laws pertaining to the apartment industry. Qualifications At least 1 year office experience. Front desk receptionist experience preferred Solid computer knowledge, sheets, google docs, internet, and e-mail Equipped with excellent communication skills and an unmatched dedication to customer service. Physical Demands & Working Conditions The incumbent in this position is classified as essential staff and is expected to report to work and adhere to all safety and business protocols. Frequent sitting and walking Repetitive use of the computer, keyboard, mouse, and phone Reading, comprehending, writing, performing calculations, and communicating verbally. May work in an elevated site, may walk on uneven ground. Occasional squatting, bending neck/waist, twisting neck/waist, pushing, and pulling.Pay:
$20.00 - $24.00 per hour Expected hours: 40.0 per weekBenefits:
