Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Handle scheduling tasks such as calendar management and appointment setting using tools like Google Workspace and Microsoft Office Perform data entry, filing, and document proofreading to maintain accurate records and ensure document integrity Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and basic financial record keeping Assist with office management tasks such as supply ordering, mail distribution, and maintaining a clean, organized workspace Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client needs Coordinate with team members on administrative projects, including preparing reports, managing correspondence, and supporting personal assistant duties when needed Skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Strong organizational skills with the ability to multitask effectively in a fast-paced environment Excellent typing speed and accuracy for data entry and document preparation Experience with multi-line phone systems and phone etiquette to handle high call volumes professionally Bilingual abilities are a plus to assist diverse client needs Knowledge of clerical procedures such as filing, proofreading, and record management Familiarity with office management software like QuickBooks or bookkeeping tools is preferred Exceptional time management skills to prioritize tasks efficiently Previous office experience or administrative experience is highly valued Customer service skills that foster positive interactions with clients and team members alike Join us in creating a vibrant office environment where your organizational talents can shine!
