This individual will work closely with SOL Radiology's physicians and Rebecca, Chief Administrative Officer, and will play an important role in coordinating the day-to-day administrative and scheduling needs of a busy radiology practice. The ideal candidate is highly organized, dependable, comfortable managing multiple priorities, and able to complete time-sensitive tasks quickly and accurately. Because SOL Radiology maintains a complex and constantly changing physician schedule across multiple hospital sites, this position requires excellent communication, sound judgment, flexibility, and consistent availability by email, text, and telephone.
Responsibilities Physician Scheduling and Coverage Coordination:
Manage and maintain the radiologist schedule across multiple hospital sites. Communicate directly with radiologists regarding shift requests, schedule changes, and coverage needs. Coordinate shift exchanges and confirm all affected physicians and departments are appropriately notified. Assist with arranging holiday, evening, weekend, vacation, and unexpected coverage. Track physician availability, vacation requests, planned absences, and scheduling preferences. Identify potential scheduling conflicts or coverage gaps and promptly escalate them to the appropriate physician or administrative leader. Maintain accurate and current scheduling records in a rapidly changing environment. Distribute updated schedules and schedule changes to physicians, hospital departments, and other appropriate team members. Follow up consistently until open shifts and coverage requests are resolved.
Administrative and Operational Support:
Provide direct administrative support to SOL Radiology physicians and the Chief Administrative Officer. Work closely with radiology department directors across all SOL Radiology hospital sites. Coordinate administrative matters with the

team and clinical care team. Work closely with the credentialing team to assist with physician onboarding, renewals, documentation requests, and hospital credentialing requirements. Collaborate with the onsite manager and onsite business manager on operational and administrative needs. Assist with physician onboarding, hospital access, system access, contact lists, and related coordination. Prepare, organize, update, and distribute schedules, spreadsheets, contact lists, forms, reports, and other administrative documents. Monitor outstanding requests, maintain task lists, and provide timely follow-up to ensure completion. Assist with meeting coordination, communications, recordkeeping, and other routine clerical responsibilities. Perform a variety of miscellaneous administrative and clerical tasks as assigned. Handle sensitive physician, employee, hospital, and business information with discretion and confidentiality.
COMMUNICATION RESPONSIBILITIES
Serve as a reliable point of contact among physicians, administrative leadership, hospital radiology directors, credentialing personnel, onsite management, IT personnel, and clinical teams. Monitor email, text messages, and telephone communications consistently and respond promptly to time-sensitive requests. Communicate professionally, clearly, and respectfully with physicians, hospital leaders, employees, and outside partners. Provide timely updates regarding scheduling requests, unresolved coverage needs, and administrative assignments. Maintain accurate written documentation of important scheduling decisions and operational communications. Qualifications Prior administrative, scheduling, healthcare, or medical office experience is preferred. Experience supporting physicians or working within a hospital, radiology group, or multisite healthcare organization is strongly preferred. Excellent organizational skills and exceptional attention to detail. Ability to manage a complex and frequently changing schedule. Ability to prioritize competing responsibilities and complete tasks quickly without sacrificing accuracy. Strong written and verbal communication skills. High level of reliability, initiative, professionalism, and follow-through. Ability to work independently while collaborating effectively with physicians and multiple operational teams. Comfort communicating with senior physicians, hospital department directors, administrative leaders, and outside partners. Proficiency with email, calendars, spreadsheets, word-processing software, text messaging, and other electronic communication platforms. Ability to learn new scheduling, credentialing, and hospital systems quickly. Ability to maintain confidentiality and use appropriate discretion when handling sensitive information.
