Job Description
Job Overview We're looking for a friendly, organized, and dependable Administrative Assistant to join our team. This role is a key part of keeping our office and shop running smoothly each day. You'll be helping customers, creating service work orders, managing information across multiple systems, and supporting a small administrative team that serves a large customer base. The ideal candidate enjoys a fast-paced environment, can keep track of multiple tasks at once, and takes pride in providing excellent customer service. Experience with QuickBooks Desktop is required, and previous experience in a trade or service-based office is a plus. We work with everyone from local mom-and-pop businesses to large commercial customers, so we're looking for someone who enjoys building relationships and providing professional, friendly service to all types of clients. This is an in-office position located at our shop in Arvada, CO. Hours are Monday through Friday, 8:00 AM - 4:00 PM. What You'll Do Create and manage work orders for service calls to keep jobs moving efficiently Navigate customer, vendor, and workflow portals to support day-to-day operations Enter data accurately using spreadsheets, business software, and internal systems Maintain organized electronic and paper filing systems Maintain service schedules, gather customer information, and set up or update accounts Complete monthly city and government reporting documents and logs Respond to customer questions and requests in a prompt, professional manner Use QuickBooks Desktop for customer account management and basic bookkeeping tasks Review and proofread documents for accuracy before distribution Assist team members with administrative and clerical tasks as needed Help keep office operations organized and running smoothly through effective time management and attention to detail What We're Looking For Experience with QuickBooks Desktop (required) Proficiency with Microsoft Office, including Word, Excel, and Outlook Strong computer skills and the ability to learn new software and online portals Excellent organizational skills and the ability to juggle multiple tasks Friendly and professional communication skills, both in person and over the phone Strong attention to detail and accuracy Ability to work independently and manage priorities throughout the day Previous administrative or office experience in a trade, construction, service, or similar industry is preferred A positive attitude and willingness to help wherever needed Strong customer service skills and a desire to create a great experience for customers
