Administrative Assistant -
Arvada, CO Role Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to support the daily office operations of our retail property management firm. This position is primarily focused on clerical and organizational tasks to ensure the efficiency of our backend systems and communications, allowing our management team to focus on the properties and tenants.
Responsibilities:
Administrative & Clerical Support:
Documentation:
Process and manage all incoming and outgoing documentation, contracts, and legal correspondence (excluding the negotiation or interpretation of leases).
Filing Systems:
Develop and maintain comprehensive, organized digital and physical filing systems for easy retrieval of business records, properties, and vendors.
Correspondence:
Draft and format professional emails, letters, presentations, and reports as directed.
Scheduling:
Manage complex calendars, coordinate meetings, and prepare meeting spaces.
Meeting Documentation:
Attend meetings to take detailed minutes and distribute them to relevant teams.
Office Supplies:
Monitor and order office supplies and maintain inventory of essential materials.
Communications & Office Services:
Reception:
Act as the primary point of contact; answer and screen phone calls and greet office visitors.
Tenant/Vendor Coordination:
Professionally route inquiries and requests from tenants and vendors to the appropriate internal personnel for handling.
Logistics:
Coordinate and book business travel arrangements and logistics.
Qualifications & Key Skills:
Minimum 3 years in a specialized administrative or clerical role. Expert proficiency in the MS Office Suite (Word, Excel, Outlook, PowerPoint). High level of proficiency in standard office equipment and cloud-based filing systems. Exceptional written and verbal communication skills. Outstanding organizational, time-management, and multi-tasking abilities. Equal Opportunity Employer #

$55,000.00 - $65,000.00 per year
