The Specialist supports the administrative team operations including greeting and coordinating visitors to CHES, ensuring campus events are advertised, purchasing supplies and equipment, coordinating deliveries, providing student support and badge printing services, coordinating and tracking ordering of office supplies and instructional supplies, processing payments and invoices, supporting academic programs, and budget tracking and data needs.Job Summary:
The Specialist supports the administrative team operations including greeting and coordinating visitors to CHES, ensuring campus events are advertised, purchasing supplies and equipment, coordinating deliveries, providing student support and badge printing services, coordinating and tracking ordering of office supplies and instructional supplies, processing payments and invoices, supporting academic programs, and budget tracking and data needs.Duties & Responsibilities:
Campus Management:
Managing campus specific projects or events with other departments including facilities, ITSS, Admissions/Recruitment, Student Experience & Equity, etc. Coordinating with AED to ensure that campus activities are advertised and signed. Greeting visitors and coordinating with appropriate leadership or staff to ensure that any needs are met. Coordinate delivery of orders to CHES by accepting orders and communicating arrival of items to appropriate stakeholder.Administrative Support:
Provides support to the Assistant to the Executive Dean, Program Support Specialists, CHES students, faculty and staff. This position must be able to coordinate a high-volume and face-paced office environment while maintaining a positive work environment and high productivity. Collaborates with various divisions and departments across the college to implement and assist with college wide initiatives and campus/division specific events as well as creating and communicating with community partnerships and stakeholders.Student Support:
Provide student support by greeting students and providing assistance as needed. Provide student badge printing services, specifically during peak times like Health Sciences New Student Orientation and beginning of semester. Ensure students know about resources available on campus and through the college (Advising, Military and Veterans Services, Counseling, Tutoring, Food Pantry, etc.Purchasing and Budget Support:
Manage department ordering and track purchasing orders. Purchase office supplies and instructional supplies as orders requests are submitted. Follow PPSC and State of Colorado Procurement guidelines and purchase card (pcard) guidelines. Track all orders to ensure that orders are placed, delivered, and invoices paid.Competencies/KSAs:

Excellent organizational skills and ability to think logically and follow directions. Creativity and flexibility in designing innovative approaches to solving problems. Strong interpersonal skills and positive energy regarding professional education. Other duties as assigned by the direct supervisor or chain of command.Minimum Qualifications:
- Completed bachelor's degree from a regionally accredited institution OR completed associate's degree with two years of professional level experience performing similar duties to those described for this position OR four years of professional level experience performing similar duties to those described for this position.
- Demonstrated experience with Microsoft Office Suite and electronic file management.
- Experience in a fast-paced office setting.
- Demonstrated resilience and ability to embrace change in the workplace.
Preferred Qualifications:
- Two years of professional level experience managing and coordinating department operations
- Experience with PPSC internal management systems, such as Banner, Navigate and D2L.
- Experience with electronic signage systems, such as ScreenCloud.
- Experience ordering supplies and processing invoices for payment.
- Experience with budget tracking.
- Experience in higher education setting.
