Summary:
Under the general supervision of the Gateway and Outdoor Wilderness Lab Principal, this position provides a variety of complex secretarial, administrative, and public relation functions to ensure the smooth operations of the Outdoor Wilderness Lab. The employee manages the budget of the Outdoor Wilderness lab and develops accurate reports. The employee is also responsible for researching, writing, and management of grant proposals, and maintaining a database of OWL sponsors. Employee acts as a resource for others including the building administrator, district staff, parents, outside agencies, and other stakeholders, and requires interpreting policies and procedures while providing information assisting with problem resolutions. This position is also often a first point of contact for the public and staff interacting with the Outdoor Wilderness Lab and the employee must work cooperatively and professionally to facilitate these interactions. Job Responsibility Description Provides support for the Outdoor Wilderness Program by overseeing the daily workflow, scheduling logistics, and general management of the OWL office. This position provides customer service for incoming calls and visitors, including D51 staff, parents, community partners, and other stakeholders. Employee is required to discern and manage a continuous flow of inquiries, requests, and a variety of other outreach routing and relaying information in a timely manner to the appropriate staff. This position coordinates meetings and provides timely notifications for staff and other participants of upcoming events and/or meetings. Meetings may include a variety of sensitive and/or confidential information and the highest considerations are taken regarding sharing of confidential information. Oversees student registration logistics including maintenance of student records and collection of OWL fees according to District policies. Coordinates transportation and field trip requests with schools and communicates special education and medical needs with the appropriate OWL staff. This requires an ability to multitask and prioritize in an active and high-volume environment. Performs a variety of operational accounting functions including managing the OWL and grant budgets, purchase orders, and the OWL purchase transactions strictly according to District policies. This position works with Finance Department staff, providing financial data and information for any number of required reports or requests, especially those related to grant compliance. Works with Human Resources on submitting timecards for seasonal staff and stipend requests for teacher chaperones. Reconciles the OWL sub code reports. Other duties under this responsibility include but are not limited to ordering instructional, office, and first-aid supplies. During times of less student activity this employee creates high-quality grant proposal narratives, completes grant funding applications, and supporting documents. Employee will research and cultivate funding opportunities and will begin collecting process for OWL related data for grantors and future opportunities. Expectations include managing the proposal submission processes to ensure timely submission of all required materials and developing a proposal calendar. This role will work with OWL program leadership on an annual grants strategy and is responsible for maintaining a database of OWL sponsors. Provides first line support to OWL staff regarding computer troubleshooting for hardware and software issues. Employee holds an operating knowledge of all department software used and provides front line assistance for basic computer troubleshooting. Performs other duties as assigned.
Education and Experience:
High school diploma or equivalent required

Minimum three years' experience in an office management or an administrative assistant position required. Preference given for prior school district experience; Preference given for prior experience in budget and/or grant writing experience; Operating knowledge of student tracking database and website administrative software required within 60 days of hire. Licenses, Registrations or Certifications Criminal background check required for hire; Valid Colorado Driver's License or Identification required; Attend and successfully complete all staff development training as required by state law and as assigned by Supervisor. Well-developed English oral, phone etiquette and written communication skills; preference for bi-lingual Spanish; Exceptional customer service, public relations, and interpersonal relationship building skills; Well-developed ability to work independently as needed with minimal direction and/or supervision; Well-developed ability to apply and explain the application of Human Resources' policies regarding employment including benefits; Well-developed ability to maintain confidentiality in all aspects of the job; especially related to personnel issues; Well-developed knowledge and research skills/experience and presenting complex data in an understandable format; Well-developed knowledge of the District's staff management and/or financial informational systems; Well-developed interpersonal relationship building skills; Ability to manage multiple priorities and frequent interruptions in a timely manner; Ability to be adaptable and flexible with collaborative critical thinking and problem-solving capabilities; Ability to use de-escalation skills to diffuse and manage stressful and fluid situations; Ability to lead, communicate, interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds; Ability to promote and follow Board of Education policies, building and department procedures; Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment and report unsafe conditions to the appropriate administrator.
