Responsibilities:

Responsible for clerical and administrative tasks for C-Level Executives, Board Chairperson and Board of Directors Provides support to ensure smooth day-to-day operations within the organization Ensure the office is organized and that daily tasks are completed efficiently Organize filing systems and keep office databases up to date Respond to and resolve administrative inquiries and questions Order office supplies, manage expense budgets, and handle invoices for department related expenditures Prepares minutes for Board meetings and other meetings Assists with preparation of Board meetings, prepares member reports, obtains Board signatures on necessary documents, arranges for food and refreshments Maintains vendor files, updates information and tracks contract and renewal dates Draft, review, and send official correspondence, emails, and reports on behalf of executive, handle incoming calls, emails and other communications Coordinate and schedule travel, meetings, and appointments. Plan and book travel arrangements for executives, including flights, accommodations, and itineraries. Prepare and manage expense reports, receipts, and travel reimbursement requests Plan and organize company events, team-building activities, and executive gatherings. Coordinate with vendors, venues, and caterers to ensure event success. Manage event budgets and logistics from inception to completion Handle sensitive and confidential information with the utmost discretion Act as a trusted advisor, keeping executives informed while protecting confidential communications Provide high level support by handling select personal and professional errands, ensuring the executive team can dedicate more time to advancing the Credit Union's mission and member-focused strategies Willing to take on extra administrative tasks as and when required by colleagues and managers Performs other related duties and responsibilities as assigned

Requirements:

Experience in a credit union or bank or similar financial intuition Three to five years of experience in an administrative role Knowledge of branch operations, procedures, and functions Understanding of Credit Union or banking products and services Excellent analytical and judgment skills Able to work well independently Ability to draft reports, business correspondence, and procedure manuals Strong written, verbal, organizational and time management skills Excellent verbal and written communication skills Proficient in Microsoft Office Suite or related software Excellent organizational and time management skills and attention to detail Ability to effectively handle multiple, concurrent assignments and activities Basic understanding of clerical procedures and systems such as recordkeeping and filing HS Diploma required!
