We are looking for an organized, dependable, and detail-oriented Administrative Assistant to join our team in Greenwich, Connecticut. Responsibilities The Administrative Assistant will work closely with the owners and assist with the day-to-day administrative operations of the company.
Responsibilities include:
Managing emails, correspondence, and general office administration Answering and directing phone calls Preparing invoices, and other business documents Entering and maintaining information in company systems (QUICKBOOKS) and spreadsheets Assisting with customer and distributor orders Communicating with customers, distributors, suppliers, and vendors Maintaining organized electronic and paper records Assisting with shipping, logistics, and order documentation Helping prepare reports and sales information Assisting with wine compliance paperwork and state reporting as needed Following up on outstanding administrative matters Providing general administrative support to the owner and team Qualifications Previous administrative or office experience preferred Excellent organizational skills and strong attention to detail Professional written and verbal communication skills Comfortable working with Microsoft Excel, Word, Outlook, and general office software, mainly Quickbooks. Ability to learn new systems quickly Ability to prioritize and manage several tasks at the same time Reliable, punctual, and able to work independently Professional and discreet when handling confidential business information Experience in the wine, beverage, importing, distribution, logistics, or hospitality industry is a plus, but not required.
