Job Summary We are seeking a dynamic and detail-oriented Mortgage Loan Department Clerical Assistant to join our team. In this vital role, you will support the mortgage loan processing team by managing administrative tasks, maintaining accurate records, and providing exceptional customer service. Your energetic approach and organizational skills will help ensure smooth operations within the department, contributing to a positive experience for clients and colleagues alike. This position offers an engaging environment where your multitasking abilities and office management expertise will shine. Responsibilities - These professionals handle clerical and administrative tasks to support management, mortgage loan officers (MLOs), processors, and underwriters.
Common duties include:
Document handling — Review loan applications, gather and organize required documents (credit reports, tax returns, income verification, appraisals, title work flood & hazard insurance), prepare correspondence, and input data into loan origination system. Follow up on documents as required for the completion of a residential 1st mortgage loan. Maintain hazard and flood insurance for loans system. Member support — Answer phones, respond to inquiries, schedule appointments, provide status updates to borrowers, real estate agents, and title companies. Processing support — Assist with pre-qualification, file organization, data entry for new loans, payment processing, and tracking exceptions or deadlines. Onboards loans at sub-servicers / registers MERS loans. Administrative tasks — Maintain files, run credit reports, board loans into systems, prepare commitment/decline letters, monitor tickler reports, and handle general office organization. Coordination — Work with internal teams (underwriters, closers) and external parties (appraisers, insurers) to keep the loan process moving smoothly. Assist in exams & audits. Skills Strong computer proficiency (MS Office, especially Excel; mortgage software or LOS systems). Excellent communication, organization, multitasking, and customer service skills. Attention to detail and ability to meet deadlines in a fast-paced environment Licensing - Existing NMLS preferred. Otherwise we will help obtain upon hire.
