Job Description

Job Overview In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support. The ideal candidate for this position must be detail-oriented, organized, and self-motivated with the ability to multi-task and work in a fast-paced environment. The administrative assistant will support the Certified Prosthetist-Orthotist (CPO) in the daily operation of the clinic. Daily duties will include scheduling patients, checking patients in for appointments, communicating with referral sources, and answering incoming calls as well as clerical duties to include copying, faxing, e-mailing, scanning, and filing documents. All duties must be performed in a time-efficient manner. Excellent communications skills must be exhibited via phone and in person. The administrative assistant must also present a professional image in both voice and appearance, and be comfortable with discussing insurance coverage and financial payment arrangements with patients. The administrative assistant will work to uphold the culture and reputation of Yale Surgical Company O & P in all daily operations; including relationship building with referral sources and clients. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately Maintain organized filing systems, both physical and digital, including data entry and document proofreading Use Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Assists with insurance verifications and prior authorizations. Supports the team with a professional approach to all business needs. Schedule appointments, manage calendars Support office management activities such as supply ordering, inventory tracking, and maintaining a clean workspace Proven office experience with strong organizational skills and attention to detail Knowledge of office management procedures including filing systems and calendar management Demonstrated customer service skills with the ability to handle inquiries professionally via phone, email, and text Experience in medical/surgical coordinator, referral coordinator or documentation specialist roles is a plus but not required Reports directly to
