The selected candidate will be responsible for performing all secretarial and office management functions, coordinating day-to-day office operations including scheduling, insurance verification, billing, preauthorization entry and tracking, front desk responsibilities, and other administrative duties. The ideal candidate must be able to effectively manage multiple priorities, answer telephones, maintain multiple schedules, and demonstrate knowledge of commercial insurance plans, state insurance programs, and Access Health CT. Key Responsibilities Provides professional front-desk, telephone, and administrative support; greets and assists patients, guardians, staff, and visitors; responds to routine inquiries; triages calls and routes messages appropriately. Schedules and maintains individual and group behavioral health appointments, provider calendars, meetings, sign-in sheets, status reports, and tracking tools; completes reminder calls and coordinates rescheduling following clinician call-outs and no-shows. Reviews daily schedules, prior-day no-shows, appointment statuses, and Daily Appointment Reports to ensure appropriate follow-up; communicates with clinicians regarding outstanding encounters and supports parent-only appointments as directed. Creates, verifies, and maintains accurate patient accounts and demographic, guarantor, insurance, coordination of benefits, and billing information in Epic and other approved systems; performs required billing data entry and assists Patient Accounts with denied claims. Collects and posts payments as assigned; reconciles cash drawers and daily balances; secures funds and processes deposits in accordance with organizational procedures. Coordinates referrals and authorizations, ensuring accurate service, department, location, and provider assignments; maintains
DDAP/DCF
entries as required and follows up on incomplete or missing information. Reconciles assigned workqueues, including registration and referral items, and escalates unresolved registration, billing, insurance, authorization, or workflow concerns. Ensures required patient/guardian forms, including TANF, Federal Poverty Level, and UDS forms, are completed and accurately entered; maintains an adequate supply of current forms. Maintains departmental records and correspondence; prepares, scans, copies, files, and distributes reports, forms, mail, meeting materials, and other documents. Prepares the next-business-day Daily Appointment Report and maintains the designated Downtime Binder. Prepares and distributes provider schedule counts and related administrative communications to designated leadership and clinical staff. Conducts daily walkthroughs of assigned locations to ensure common, clinical, and office areas are clean, orderly, safe, stocked, and operational; adjusts furniture as needed. Monitors routine office and clinical supplies, equipment, and expiration dates; replenishes approved supplies with appropriate authorization and submits/follows up on facility, equipment, technology, and maintenance work orders. Required Qualifications High School Diploma/GEDrequired. College Degree preferred. Minimum of two (3) years related experience working in a medical/healthcare facility or business setting preferred.
