JOB DESCRIPTION
The clerical assistant is the first person of contact for students, parents and the public within the school community when the secretarial staff is unavailable.
ESSENTIAL JOB FUNCTIONS
The following statements of duties and responsibilities are intended to describe the general nature and level of work being performed by individuals assigned to this position. These statements are not intended to be an exhaustive list of all duties and responsibilities required of all personnel within this position. Plans, prioritizes and organizes work according to established or standard office procedures. Attends to students' needs. Provides information to students, parents, and the public relating to school policies, procedures, programs and schedules. Files and retrieves correspondence, reports, and confidential documents and prepares information for supervisor or authorized staff members. Temporarily relieves and/or supports other office staff as directed. Screens telephone calls and greets visitors, ascertains nature of business, and refers to appropriate room/person. Issues building permits and coordinates use of building facilities by outside organizations as well as school functions. Meets the public and provides information Coordinates and maintains school calendar within the building and online. Maintains inventory of office supplies, materials and equipment. Regularly receives information of a confidential nature and is responsible for restricting the disclosure of such information. Operates computer, fax, laminator, multifunction copiers and printers with efficiency.

May perform additional tasks and duties as requested.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of office procedures, school procedures and district procedures. Knowledge and proficiency of Microsoft Word, Excel and Outlook. Ability to extract specific information from a given database. Ability to learn new software programs and quickly become proficient. Ability to perform mail merges. Ability to deal effectively with staff and the public. Ability to process paperwork accurately and efficiently. Ability to multitask efficiently. Ability to react to crisis situation in a calm, effective manner. Ability to maintain confidentiality. Ability to deal cooperatively with parents, students and staff. Ability to compile data as requested. Effective interpersonal skills. Ability to operate computer, fax, laminator, multifunction copiers and printers with efficiency. Ability to type and input data accurately.
REQUIRED PHYSICAL AND MENTAL EFFORT AND ENVIRONMENTAL CONDITIONS

Ability to work under stress from demanding deadlines and changing priorities and conditions. Ability to concentrate on fine detail with constant interruptions. Ability to file letters, correspondence, reports, etc. in file cabinet drawers close to floor level. Ability to store supplies using a stepstool to move items to shelves overhead. Ability to lift thirty (30) pounds. Ability to remember multiple task/assignments given to self over long periods of time. Ability to effectively perform job responsibilities under varying noise levels and distractions.
REQUIRED MINIMUM QUALIFICATIONS
A high school diploma or GED equivalency.
LICENSE OR CERTIFICATE
Valid Connecticut driver's license
