Administrative Assistant - CEO & COO Support Position Overview We are looking for a dedicated, highly organized Administrative Assistant to support the daily responsibilities of both the CEO and COO of a fast-growing medical equipment company and their portfolio of businesses. This position is ideal for someone who thrives in a fast-paced environment, can manage multiple priorities at once, and remains calm and organized when things do not go according to plan. Our days can move quickly, priorities can change, and unexpected situations arise, so we need someone who can keep things organized when the pace gets hectic. This person will help the CEO and COO manage schedules, communication, priorities, follow-ups, meetings, and the many moving pieces that come with running and overseeing a growing portfolio of businesses. The ability to shift between different companies, priorities, projects, and responsibilities while keeping everything organized will be an important part of this role. Key Responsibilities Provide day-to-day administrative support to the CEO and COO. Help coordinate administrative needs across the CEO and COO's portfolio of businesses, keeping priorities, projects, and responsibilities organized. Manage calendars, meetings, appointments, and scheduling. Coordinate internal and external meetings and ensure leadership is prepared with the necessary information and materials. Monitor priorities, deadlines, and follow-up items to help ensure important tasks do not fall through the cracks. Assist with email correspondence, phone calls, documentation, and general communication. Coordinate travel arrangements, reservations, itineraries, and related logistics as needed. Prepare reports, presentations, meeting notes, spreadsheets, and other business documents. Organize and maintain confidential company and leadership information. Communicate and coordinate with employees, vendors, customers, and business partners on behalf of leadership when appropriate. Help prioritize incoming requests and direct information to the appropriate person or department. Assist with special projects and company initiatives across multiple businesses as assigned. Anticipate the needs of the CEO and COO and proactively address administrative or scheduling challenges. Help create organization and structure during busy or rapidly changing situations. Handle sensitive and confidential information with professionalism and discretion. Represent leadership and organization with kindness, patience, professionalism, and respect in every interaction. Qualifications & Skills Highly proficient in Microsoft Office , including Outlook, Word, Excel, PowerPoint, and Teams. Strong calendar management, scheduling, and organizational skills. Excellent written and verbal communication skills. Strong attention to detail and ability to follow through on assignments. Ability to prioritize multiple responsibilities and manage competing deadlines. Ability to manage and organize responsibilities across multiple businesses, projects, and priorities. Comfortable working in a fast-paced environment where priorities may change throughout the day. Ability to remain calm, professional, and solution-oriented under pressure. Strong problem-solving skills and ability to think independently. Comfortable communicating with employees at all levels of the organization. High level of professionalism, discretion, and confidentiality. Kind, patient, approachable, and respectful when working with others. Dependable, proactive, resourceful, and willing to jump in wherever help is needed. Previous administrative, executive assistant, office management, or similar experience preferred.
