Job Description

Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for maintaining smooth administrative processes. Duties Operate multi-line phone systems, handle incoming calls with courteous phone etiquette, and route messages efficiently Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools Coordinate calendar management and scheduling for team members, including setting appointments and reminders Oversee filing systems, document proofreading, and ensure all correspondence is clear, accurate, and well-organized Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking Provide exceptional customer support via phone or email, addressing inquiries promptly and professionally Qualifications Proven office management or administrative experience in a professional setting Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment Experience with clerical duties such as filing, data entry, proofreading, and document management Familiarity with multi-line phone systems and phone etiquette standards Bilingual abilities are highly desirable to serve diverse client needs effectively Previous experience as a receptionist—dental or medical—will be considered an asset Personal assistant experience or background in office support roles is advantageous Knowledge of bookkeeping practices using QuickBooks or similar software is preferred Strong time management skills combined with the ability to handle multiple responsibilities simultaneously Join us to be part of an energetic team dedicated to excellence! Pay:
$17.00 - $19.00 per hour
