Job Description

The Office Assistant is a multi-tasker with excellent organizational and communication skills with an upbeat attitude who can problem solve and perform research independently. The Office Assistant assists management, staff, and clients by handling office tasks, providing professional assistance via phone, mail, and email, and generally be a helpful and positive presence in the workplace.
Duties include:
Greet and assist clients. Maintain professional communication via phone, email, and mail. Answer and screen phone calls to direct to the appropriate staff. Schedule and confirm client appointments and prepare required paperwork. Ensure client records are accurate and current. Manage office filing system, communications, and record keeping requirements for compliance purposes. Collect incoming checks and process deposits in a timely manner. Maintain office supply inventory levels. Book travel arrangements for President, such as flights, cars, hotels, and restaurant reservations. Other ad hoc projects or tasks as assigned.
Must be:
Proficient with Microsoft Word, Excel, and Outlook. Experience with office productivity suites such as Microsoft 365 and OneDrive. Experience working with multi-function printers, including the ability to scan documents and send as an email attachment, configure, copier settings, and perform light maintenance tasks, such as replacing toner cartridges. Knowledge of general office practices, procedures, and equipment. Ability to establish and maintain effective working relationships with staff and clients. Ability to prioritize tasks. Ability to research to find information from a variety of resources. Ability to honor confidentiality of information.
