DUTIES AND RESPONSIBILITIES
• Performs typing assignments (i.e. correspondence, labels, bulletins, rosters, reports, etc.) Composes correspondence, reports and other written documents Works closely with the school leader on various projects and schedules Responds to requests (telephone, personal, mail) for information/assistance, exercising independent judgment and discretion Performs receptionist duties, maintains entrance security, greets guests, and responds to requests for information/assistance Maintains and assumes responsibility of records and files Assumes responsibility for inventory, ordering, and distribution of office supplies/equipment Operates, maintains, and trains staff on appropriate office equipment Processes payment vouchers and purchase orders Receives, counts, and secures money, and records transactions, as assigned by the school leader Develops priorities, methods and procedures for effective performance of duties and office preparation Assists school leader in designated, routine administrative task Coordinates the School enrollment and registration process Exercises good judgment and confidentiality in conformance with school policy Performs related administrative secretarial duties as assigned by the school leader This list is intended to be illustrative rather than complete, and serves to show major duties and responsibilities of an Administrative Assistant. QUALIFICATIONS
High School Diploma or GED Certificate (two years of applicable college or business school is preferred, but not required) Thorough knowledge of secretarial techniques and office procedures Excellent interpersonal skills and ability to work with others Experience in School registration and enrollment Experience with the First State Financial System (FSFS) preferred Processes and prepares purchase orders, payment vouchers, and all other financial documents Process Payment Vouchers for the school Willingness to learn new things Typing skills with accuracy Proficient Computer skills (e.g. Word Processing, Spreadsheet, Data Management, Power Point/or equivalent) Proficiency in both written and oral English usage and proofreading (Proficiency in both written and oral Spanish is preferred, but not required) Knowledge of mathematics and bookkeeping methods Ability to coordinate workload to meet established schedules/deadlines Demonstrates ability to make decisions, to work under pressure and to exercise good judgment, discretion, and confidentiality in performance of duties Demonstrates pleasant, cooperative attitude Demonstrates good attendance record (school or employment) Effective communication and interpersonal skills Experience with Infinite Campus and/or PHRST a plus Early College School @ Delaware State University John R.
