Director, Licensure & Certification Description of Position:
This Casual Seasonal Administrative Assistant I, Licensure & Certification position is a per diem position that supports the work of the Licensure & Certification team. The main responsibilities involve responding to incoming phone calls, responding to general requests for information to the main team mailbox; opening paper and e-documents, filing in educator files with appropriate labels; and providing secretarial support to the team Director and other team members, as needed. This position is also responsible for processing applications as appropriate.
Major Responsibilities Include:
Supporting the work of the Licensure & Certification team. Provide outstanding customer service to internal and external customers. Answering phones and responding to caller's inquiries about L&C operations including: Becoming an educator, Submitting applications, Requirements for credentialing, Salary increments, Licensure renewal Pointing towards resources on the L&C website, And other questions, as posed, etc. Responding to inquiries from local school districts and outside agencies regarding licensure and certification issues. Assigning KACE service tickets to the appropriate team members. Opening and responding to KACE tickets. Opening e- and paper transcripts, identifying appropriate and necessary information, and filing in the DEEDS system with accuracy according to L&C processes. Maintain e-files in an organized and accurate manner. Archive and/or shred files as authorized in accordance with approved records retention schedules as published by the State of Delaware Division of Public Archives.
Essential Qualifications and Skills Education:
Minimum high school diploma or GED; some college coursework preferred.
Experience:
3-5 years demonstrated office/secretarial experience. Extensive customer service experience required. Experience with handling confidential documents.
Skills:
Must be proficient in Windows and Office Suite. Must be proficient in use of Windows and Chrome, addressing multiple windows and tabs simultaneously. Must be familiar with using Microsoft Teams and other webinar software. Must have excellent oral and written communication skills, handling questions and concerns with speed and professionalism. Ability to thrive in a fast-paced environment focused on serving others. Ability to multi-task without sacrificing quality of work. Ability to prioritize a wide range of tasks with competing deadlines. Must have excellent interpersonal skills and the ability to deal with staff in a tactful, congenial and personal manner. Discretion and confidentiality are essential.
Salary:
Salary Range:
$23.01 to $33.32 per hour. The final salary will be determined based on the candidate's education and experience in accordance with the Department of Education's compensation policy. Direct deposit of payroll checks is a condition of state employment, and employees are paid on a lag pay schedule with the first payment made after approximately one month of employment.
Notes:
Casual seasonal employment is offered to assist agencies on a temporary basis and the duration of employment is determined by the needs of the agency, available funding and job performance. This position can work up to 29.5 hours per week and has a flexible work schedule based on operational needs. A criminal background check is required. The successful candidate must demonstrate during the interview process an understanding of diversity, educational equity and multicultural education.
