Job Description

Join a team of dedicated professionals in the Polk County Clerk of Courts office. The Clerk's office has been recognized as a Best Places to Work—an award given by CareerSource Polk that is based on employee surveys and an evaluation by judges. The Clerk of Courts provides a very rich benefit plan which includes membership in the Florida Retirement System, health insurance, an employee wellness center, and an employee gym. There's also a paid time off plan in which one can accrue twenty-two days of leave time in the first year of employment.

The Mission of the Clerk of Courts has a high degree of public accountability, regular attendance and punctuality is an essential function of this position. Support and comply with the Mission Statement and Code of Conduct of the Clerk of Courts. Maintain a high standard relating to professional conduct and behavior. Work cooperatively with other employees of the work unit and embrace a teamwork approach to completing tasks.
Essential Tasks:
This department's area of focus is: Estates, Guardianship & Mental Health Provide accurate, compassionate service to all customers and colleagues, whether in person, over the phone, or by email. Meet production standards with a high level of accuracy. Scan, index, and process eFiled documents and update cases accordingly. Build and process new cases and complete required process work. Learn and understand multiple applications related to the position. Pickup, sort, and deliver mail. Prepare and process subsequent filings. Fulfill records requests. Research information in multiple databases to provide customers with accurate information Provide backup to the front counter as needed. Cashier and process customer payments as well as balance and reconcile cash, checks, and credit cards with daily reports. Review indigent applications and make determination based on statutory and poverty guidelines. Maintain confidentiality of information learned or acquired as part of the position. Assist with special projects as needed. Adapt to a flexible schedule, and work overtime, as needed. Perform other related work as required or assigned. Minimum Skills /
Qualifications:
Graduate of an accredited high school or possess an acceptable equivalency diploma. Bi-lingual applicants are encouraged to apply. Ability to collaborate effectively with departmental teams and external agencies to prioritize workflows, organize tasks, and manage competing demands to ensure all deadlines are met. Ability to read, interpret, and follow safety rules, operating/maintenance instructions, procedure manuals, and write routine correspondence and reports. Proficiency in use of Microsoft Office. Ability to accurately type 35 WPM. Ability to maintain attention to detail and to remain calm in an anxious, intense environment. Demonstrate strong professional communication skills in both oral and written form with the ability to read, write, and speak English fluently to effectively interact with colleagues and customers. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Demonstrate the ability to rapidly acquire or possess comprehensive knowledge of departmental procedures, overall operations, and workflows. Execute thorough research using provided resource materials to ensure strict compliance with Clerk policies, departmental guidelines, and Florida Statutes. Adapt to evolving operational requirements by applying Florida Statutes, departmental guidelines, Clerk policies, and the Clerk's Mission Statement; demonstrate flexibility in implementing new policies and procedures while maintaining high performance amidst changing conditions. Being able to work in a constant state of alertness and safe manner. Ability to collaborate effectively with departmental teams and external agencies to prioritize workflows, organize tasks, and manage competing demands to ensure all deadlines are met. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. External candidates must be able to pass an NCIC background check, drug screen, and physical exam. This position offers a six-month training period.
