A Project or Program Administrative Assistant provides administrative assistance to a program team or project management team. Organizes files and assists with record keeping and data base management. Manages team calendars and helps to organize meetings and events. Provides administrative support for program activities, financial reports and budgets, grants or project proposals; may help to arrange travel.

OVERVIEW
Responsible for the execution of the ag shop's preventative maintenance plans; includes activities such as but not limited to preventative maintenance scheduling, data collection and entry, vendor communication, work order creation and processing, service entries, data validation and uploading, and information sharing. These activities must be production and cost goal oriented, and must follow all established safety guidelines.
DETAILED ROLES & RESPONSIBILITIES
Assist in all maintenance scheduling and provide all necessary support for its execution
Review and validate all preventative maintenance (PM) data related to scheduled and unscheduled services, enter PM data into SAP; verify scheduled PM activities are completed; run PM reports and update management on activities
Conduct periodic reviews of all PM processes, document their effectiveness, and make recommendations for improved efficiency
Maintain a strong technical knowledge of PM planning systems and software, stay current with improved techniques, and train others on its use
Assist in the development and delivery of PM reports
Collect and enter fuel data; validate the data; and upload for reconciliation
Maintain consistent communication with shop management, especially during key projects
Maintain professional and courteous relationships with all departments within the company
Adhere to Human Resource's policies and procedures; support Florida Crystals Corporation's Standards of Conduct/Work Rules Policy
Comply with Florida Crystals Corporation's Environmental Health and Safety Policy (EHS). Must understand and adhere to all Florida Crystals Corporation's policies and procedures
Attend departmental and safety meetings as scheduled, along with implementation of action items approved
All other duties as directed by management representatives
WORK EXPERIENCES
Minimum of three (3) years in a maintenance centered administrative position
Three (3) years maintenance planner experience preferred
EDUCATION REQUIREMENTS
High School Diploma required
Associate's degree or certificate in information systems preferred

Solid working knowledge of maintenance activities. Maintain knowledge of industry trends

Ability to apply and adapt to practices and techniques to the special requirements of senior management
Ability to establish and maintain effective working relationships with team members, other management staff and senior level management
Ability to respond to inquiries and/or complaints from team members
Demonstrates the ability to use technology such as computers, mobile devices and PM software
Ability to comprehend technical reading materials and reports
Excellent communication skills - requires the ability to effectively communicate verbally and written. Ability to effectively present information to senior management and team members
Must be able to coordinate multiple duties of an urgent nature
A valid driver's license is required
