Job Description

The Boca Grande Health Clinic Foundation is the financial lifeline of the Boca Grande Health Clinic. We are a small, close-knit team that genuinely cares about each other, our work, and the community we serve. We are looking for a detail-driven Administrative Assistant to join us in supporting our donor relations efforts. This role blends front-office reception and executive support with a central focus on the donor giving cycle: processing gifts, sending timely acknowledgments, maintaining accurate donor records, and driving cultivation and engagement through thoughtful, data-informed outreach. You'll also lend support to event coordination and marketing; experience planning golf tournaments is especially welcomed. Key Responsibilities Administrative & Office Support Greet visitors, answer calls, and provide friendly, professional customer service Manage the Executive Director's calendar and schedule appointments Prepare board meeting materials, including compiling board packets and taking minutes Schedule and host virtual meetings using platforms like Zoom and Microsoft Teams Order and manage office supplies, equipment, and vendor relationships Build and maintain organized workflows to support daily operations Donor Relations & Gift Processing Process donations accurately and prepare timely acknowledgments Update and maintain donor records with meticulous attention to detail and data integrity Support donor cultivation and stewardship - help deepen relationships through attentive, data-informed follow-up and engagement strategies Serve as a backup to the Development Systems Administrator for database-related tasks Marketing & Communications (Preferred) Create and update marketing materials, newsletters, and social media content Assist with basic graphic design for event collateral, flyers, and digital outreach (Canva, Adobe, or similar experience highly valued) Event & Special Project Support Provide logistical support for fundraising events, donor receptions, and community programs Coordinate invitations, RSVPs, event materials, setup, and vendor communication Take on special projects and additional duties as they arise What We're Looking For 5+ years of experience in customer service and/or office administration Familiarity with the Boca Grande community is highly valued Nonprofit experience preferred Meticulous attention to detail—accuracy is non-negotiable, especially in data entry and record keeping Strong proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) Experience with virtual meeting platforms (Zoom, Microsoft Teams) Comfortable learning new databases: familiarity with donor CRMs (Bloomerang, DonorPerfect, Raiser's Edge, etc.) is an advantage but not required Excellent organizational, time management, and written communication skills Ability to work independently while keeping the team informed on progress and priorities Comfortable working at a desk for extended periods Flexibility to work some evenings and weekends for events Marketing, communications, or graphic design background is a distinct advantage
