Job Description

The Administrative Assistant provides administrative and clerical support to the Property Manager, Board of Directors, residents, and community staff. This position helps ensure the office operates efficiently while providing professional and responsive service to homeowners, vendors, and guests.
Key Responsibilities:
Answer phones, respond to emails, and assist residents and homeowners with general questions and requests. Greet residents, guests, and vendors in a professional and courteous manner. Provide administrative support to the Property Manager and Board of Directors. Maintain community records, files, forms, correspondence, and other documents. Process and track maintenance requests and work orders. Coordinate with vendors, contractors, and service providers as needed. Assist with scheduling inspections, repairs, meetings, and community activities. Prepare and distribute notices, letters, newsletters, meeting materials, and other community communications. Assist with Board meeting preparation, including agendas, sign-in sheets, meeting packets, and minutes. Maintain accurate resident and owner information and update records as needed. Assist with processing incoming and outgoing mail, deliveries, invoices, and other office correspondence. Assist residents with community forms, applications, and requests. Maintain office supplies and assist with ordering supplies when necessary. Assist with maintaining compliance and architectural request files. Enter and maintain information in HOA management software and other office systems. Handle confidential community and resident information appropriately. Provide general administrative assistance to the Property Manager and other staff as needed. Perform other duties as assigned.
Part-Time Mon-Fri Pay Rate:
Up to $24 DOE
