Prepare permit paperwork in accordance with jurisdictional requirements. Submit permit requests via online systems and/or in person. Create and maintain Microsoft Excel files to track permit status. Communicate directly with city officials to coordinate and schedule all necessary inspections. Coordinate with the permit runner or have the ability to run permits to job sites and localities on your own. Close Permits at job completion. Assures that all external and internal calls are handled quickly and effectively, taking messages and transferring, paging or otherwise assisting callers. May communicate using telephone lines, radio and/or cell phones. Represents the company by greeting visitors, vendors and clients and contacting appropriate staff members. Directs visitors to proper destination. Prepares outgoing mail and sorts/distributes incoming mail and faxes. Issues employee applications, assists applicants and maintains applications on file. Performs general clerical duties as assigned to include filing, photocopying, typing proposals and reports, logging information, faxing and entering data into computer systems. Orders and maintains office supplies, as needed. Ensures that office equipment is operational with appropriate paper, toner, etc. May coordinate cleaning and maintenance of office equipment. May be responsible for making travel arrangements. May be responsible for preparing and coordinating bank deposits. Coordinates delivery of express shipping supplies and pickup of outgoing shipments. May maintain petty cash funds. Forwards calls, as appropriate, to other members of the staff in other departments. Qualifications Previous permitting experience required in HVAC, plumbing or electrical. HS diploma, or GED equivalent, is required. An associate's degree in business administration or other administrative training is desired. Previous administrative assistant or administrative experience preferred. Related experience and/or advanced training or any equivalent combination of education and experience may be substituted. Must be computer literate with knowledge of Microsoft Office. • This posting provides details on potential compensation ranges and possibilities.
