ADMINISTRATIVE ASSISTANT- ADMINISTRATION FLSA
NON-EXEMPT Duties/Responsibilities:
Greet visitors, assess their needs and guide them to the appropriate areas of service. Answer incoming calls and route them to the relevant departments. Provide administrative support, including scanning, faxing, and copying. Assist IT, Training and HR departments with employee badge management. Assist Executives Assistants when needed. Record and log employee call-out messages. Support Human Resources with candidate paperwork. Act as a liaison between potential candidates and supervisors at clinic locations. Create, edit and manage communication materials, including website content, Facebook, Instagram updates, marketing materials, print publications, and other communication platforms. Develop and execute media and marketing initiatives via the website, Facebook, Instagram and other communication methods. Order and keep track of office supplies and kitchen supplies. Maintain accurate record of transfers and send new badges and new job description to transferred employees.
Required Skills/Abilities:
Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Excellent organizational skills and attention to detail. Must be able to effectively manage workflow and maintain high-quality standards in environments where staffing levels may be below ideal, demonstrating the ability to prioritize tasks and collaborate with the team under pressure. Ability to use office equipment, including computers, copy machines, fax machines, telephones, calculators, and more. Excellent time management skills with a proven ability to meet deadlines. Ability to prioritize tasks and to delegate them when appropriate. Proficient with Microsoft Office Suite, Canva and related software. Perform additional tasks as needed to support the centers.
Education and Experience:
High School Diploma or equivalent. At least two years related experience preferred.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 30 pounds at times. Must be able to travel to various center locations as required.
