Job Summary We are seeking a proactive and detail-oriented Administrative Assistant/Data Entry professional to join our dynamic team. This role offers an exciting opportunity to support daily office operations, manage data entry tasks efficiently, and provide exceptional customer service. The ideal candidate will be organized, tech-savvy, and capable of handling multiple responsibilities with enthusiasm. Your contributions will ensure smooth office functioning and accurate record-keeping, helping our organization operate seamlessly and professionally. Responsibilities Perform data entry with precision using various software platforms, ensuring accuracy and confidentiality of all information Manage front desk duties, greeting visitors and directing them appropriately while maintaining a welcoming environment Operate multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette Maintain organized filing systems both electronically and physically to support easy retrieval of documents Assist with bookkeeping tasks utilizing QuickBooks or similar accounting software to support financial record management Provide administrative support including scheduling appointments, preparing correspondence, and proofreading documents for clarity and accuracy Handle confidential information with discretion, adhering to privacy policies and organizational standards Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and strong computer literacy skills Experience with office management, clerical tasks, and data entry processes Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Strong customer service skills with professional phone communication and client interaction experience Bilingual abilities are a plus for supporting diverse client needs Knowledge of bookkeeping practices using QuickBooks or similar software is preferred Demonstrated ability to handle confidential information responsibly and maintain high levels of accuracy in typing, proofreading, and filing tasks Join us to be a vital part of a vibrant team where your organizational talents and enthusiasm will make a real difference!
