We are looking for an organized, accurate, bilingual administrative assistant to help keep our projects and office running smoothly. This role combines construction purchasing, basic estimating, permit and inspection coordination, bookkeeping support, and business and personal administrative support for the owner. Training in estimating and material take-offs is available for someone with strong numerical skills and a willingness to learn. What you will do Obtain and compare prices for construction materials, place orders, and follow up on deliveries. Assist with basic estimates, material take-offs, and quantity calculations. Request quotations from subcontractors and follow up on outstanding information. Prepare and submit permit applications, coordinate required documents, and follow up with building departments on application status and outstanding requirements. Schedule inspections, coordinate access with the project team, track results, and arrange re-inspections when needed. Maintain organized records of permits, inspections, and project documents. Keep subcontractor paperwork current and organized. Support the bookkeeper by locating receipts and invoices, matching them to bank and credit card statement transactions, and following up on missing documentation. Communicate with English- and Spanish-speaking workers, suppliers, and subcontractors. Handle general office administration and clerical tasks. Assist the owner with personal administration, including medical paperwork, health insurance claims, and follow-up with providers and insurers. Handle business, financial, and personal information with discretion and confidentiality. Essential skills Able to communicate clearly in English and Spanish, verbally and in writing. Strong computer skills in Microsoft Word, Excel, and Outlook. Accurate arithmetic and an understanding of basic geometry for calculating material quantities. Strong organizational skills and attention to detail. Able to prioritize work, meet deadlines, and adapt when priorities change. Comfortable working independently, asking questions when needed, and following tasks through to completion. Professional and helpful when dealing with clients, workers, suppliers, subcontractors, and building department staff. Persistent and thorough when following up on paperwork, claims, and outstanding requests. Trustworthy and comfortable handling confidential information. Willing to contribute across a variety of administrative tasks in a small business. Preferred experience Experience in a construction office or working with construction suppliers and subcontractors. Experience applying for permits, using municipal permitting portals, and scheduling inspections. Experience with purchasing, estimating, or material take-offs. Experience supporting a bookkeeper or organizing receipts and financial records.
