$85,000-$105,000 base salary, commensurate with experience Position Summary The Salty Donut is hiring a Senior Administrative Assistant to provide high-level administrative and operational support to its executive leadership team as the company continues to grow. This role is not dedicated to a single executive. Instead, it supports a small group of senior leaders, oversees the day-to-day operations of the executive office, and provides administrative support to the HR function, including leadership onboarding, employee engagement initiatives, and policy documentation. The ideal candidate is a proactive, discreet, highly organized professional who thrives in a fast-paced, evolving environment and is comfortable managing multiple stakeholders and shifting priorities. Key Responsibilities Executive Support Manage calendars and travel arrangements for the Executive Leadership Team. Coordinate scheduling across multiple executives with competing priorities; anticipate and resolve scheduling, operational, and logistical challenges before they impact productivity. Prepare expense reports and reconcile receipts in line with company policy. Prepare, format, and proofread reports, presentations, and other executive-facing materials. Capture and distribute minutes for leadership meetings; track follow-up items to completion. Serve as a liaison between executives and internal and external stakeholders, exercising discretion on what to escalate. Office Administration Serve as the point person for day-to-day office operations — supplies, vendor relationships, facilities, mail, and equipment. Coordinate internal meetings and company events, including logistics and materials. Maintain organized records and filing systems (physical and digital) for the office of the CEO. Support the rollout of new administrative systems as the company scales. Project documentation support to the executive team — formatting/registering documents, tracking task status, logging comments. Leadership & Administrative Support Coordinate leadership onboarding logistics, including workplace setup, equipment, system access, schedules, welcome materials, and cross-functional coordination. Support employee recognition, appreciation programs, leadership events, and milestone celebrations. Maintains confidential personnel, executive, and business documentation with the highest level of discretion. Support the development, organization, formatting, and maintenance of company policies, procedures, and administrative documentation in partnership with business leaders and external advisors. Assist with executive communications, organizational, and administrative announcements. Coordinate administrative activities related to leadership transitions, organizational changes, and other strategic initiatives. Special Projects Support company-wide strategic initiatives and organizational projects. Conduct research, prepare reports, and develop executive-ready presentations. Coordinate cross-functional projects and monitor milestones, deliverables, and follow-up actions. Perform additional administrative and operational duties as assigned. Qualifications Required 5+ years of experience as an administrative assistant, executive assistant, or office manager, ideally supporting multiple executives or a small leadership team. Demonstrated discretion and sound judgment handling confidential and sensitive information. Strong calendar, travel, and expense management skills; proficiency with Google Workspace or Microsoft 365 and expense tools (e.g., Expensify, Concur, or similar). Excellent written and verbal communication skills. Highly organized, with the ability to manage competing priorities across several stakeholders without dropping details. Comfortable operating in a fast-paced, evolving small-company environment. Strong business acumen, with the ability to understand and support priorities across commercial, brand, and financial functions. Ability to work independently, exercise sound judgment, and proactively solve problems. Preferred Prior exposure to HR administration or operations (onboarding, benefits, employee records). Experience supporting a company through growth, restructuring, or leadership transition. Project coordination experience. Compensation & Benefits Base salary of $85,000-$105,000, based on experience and market benchmarks for senior administrative roles with multi-executive scope in the Miami market.Benefits include:
