Systems & Workflow Coordinator Administrative Department Venti Accounting is seeking a full-time Systems & Workflow Coordinator to join our team! We are looking for someone who is extremely personable, detail-oriented, organized, driven, and focused. We're looking for a great communicator and an extremely fast learner. You'll play an important role in how clients, staff, and partners experience our firm.
Primary Focus:
This is a designated role within Venti's Administrative Department, serving as front-office point of contact, operational processing, system/data accuracy, and workflow coordination across departments.

WHAT YOU WILL DO
Front Office /
Client-Facing:
  • Be the first point of contact for clients — answer calls promptly and greet visitors professionally
  • Manage firm emails and route calls/emails to the right person
  • Set and confirm client appointments
  • Maintain office inventory and order supplies as needed
  • Exhibit polite, effective communication with clients in person and over the phone
Systems & Workflow:
  • Maintain accurate client data across systems; ensure proper system usage and data integrity so nothing falls through the cracks
  • Monitor and manage workflow progression across departments; track deadlines and outstanding tasks
  • Monitor recurring workflow control tasks, comparisons, and operational reporting
  • Coordinate communication between departments, team members, and admin functions
  • Identify and resolve system, processing, data, and workflow issues
  • Manage and organize client records and documents; support portal uploads, tax return delivery, and document handling
  • Assist with tax-season operational support, including extensions, filters, document flow, and high-volume communication
  • Support onboarding/training of administrative staff and client onboarding coordination
  • Maintain confidentiality of client information

Job Type:
Full-Time Salary:
$50,000 - $54,000
