In person Position Summary Economy Fire Protection is seeking an organized, dependable, and proactive Construction Administrative Assistant to support our owner and project management team. This position is ideal for someone who is comfortable following up with multiple people, tracking outstanding requests, answering emails and phone calls, and making sure important tasks do not fall through the cracks. This is not simply a receptionist position. We need someone who takes ownership of assigned tasks, follows through consistently, and keeps the owner and project manager informed of pending items and deadlines. Primary Responsibilities Follow up with fire sprinkler designers regarding plans, revisions, corrections, and outstanding information Follow up with general contractors, customers, vendors, and other project contacts regarding requests and required documents Track open requests, deadlines, responses, and next steps Maintain an organized follow-up list for the owner and project manager Draft and respond to routine emails under the direction of management Return phone calls, obtain necessary information, and direct questions to the appropriate team member Assist with project documents, proposals, submittals, permit records, and closeout documentation Update project information in BuildOps, spreadsheets, and company files Organize electronic records and ensure documents are saved in the correct project folders Communicate outstanding issues to management before they become delays Provide general administrative support to the office as needed Qualifications At least one year of administrative or office experience preferred Construction, fire protection, permitting, or project coordination experience is a plus but not required Strong written and verbal communication skills Comfortable making follow-up calls and sending professional emails Strong organizational skills and attention to detail Able to manage several open tasks without losing track of deadlines Professional, persistent, and comfortable requesting updates from contractors and other project contacts Working knowledge of Microsoft Outlook, Word, and Excel Ability to learn BuildOps and other company systems Reliable attendance and transportation to our Dania Beach office English required; Spanish is a plus The Right Candidate Will Be Highly organized and dependable Comfortable taking initiative Persistent without being unprofessional Able to recognize when an issue needs to be escalated Capable of working in a busy construction office where priorities can change Someone who follows a task through to completion instead of waiting to be reminded Benefits Health insurance benefits available 401(k) plan Matching Monday-through-Friday schedule Opportunity to learn construction project administration and grow with the company Economy Fire Protection is an equal opportunity employer.Pay:
