full-time Job Overview We are seeking a dynamic and highly organized Front Desk & Accounting Coordinator to join our team! This energetic role is vital in ensuring the smooth operation of daily office activities and to support our administrative and accounting operations at our Dania Beach headquarters. This role is ideal for someone who thrives in a fast-paced, in-office environment and enjoys being the go-to support person for leadership, accounting, and daily office operations. You'll be the first point of contact for our company, a trusted support to our Controller and President, and a key contributor to keeping our office running smoothly and professionally. This role is well suited for a detail-oriented professional who can manage multiple priorities in a fast-paced, in-office environment. The Front Desk & Accounting Coordinator is a central support role at Kibler Construction, combining responsibilities traditionally associated with reception, office management, executive assistance, and accounting support. This position ensures the daily efficiency and professional operation of the office while assisting the Controller with administrative accounting functions. This is an on-site position, and regular in-office attendance is an essential function of the role. The regular work schedule for this position is Monday through Friday, 8:00 a.m. to 5:00 p.m., with overtime as business needs require. This role serves as the first point of contact for visitors, vendors, and subcontractors, manages office logistics, supports scheduling and leadership needs. Strong organization, professionalism, discretion, and attention to detail are essential for success in this position. This position is classified as non-exempt and is eligible for overtime compensation in accordance with applicable wage and hour laws. Key Responsibilities Front Office & Office Operations Greet and assist clients, vendors, and subcontractors professionally Manage incoming calls, incoming and outgoing mail, and general office inquiries Maintain a clean, organized, and professional office environment Order office and breakroom supplies and coordinate team lunches Administrative & Executive Support Schedule meetings, appointments, and conference rooms Assist leadership with documents, correspondence, and meeting materials Organize and maintain physical and electronic filing systems Print employee applications & provide to candidates Accounting & Compliance Support Assist the Accounting Department with administrative accounting tasks Verify subcontractor documentation (lien waivers, insurance, W-9s, compliance forms) Coordinate subcontractor check releases once requirements are met Maintain organized subcontractor and financial records Required & Preferred Qualifications Required Minimum of 1 year of experience in office administration, office management, or accounting support Bilingual (English/Spanish) Strong organizational skills and attention to detail Professional written and verbal communication skills Proficiency in Microsoft Outlook, Word, and Excel Ability to handle confidential information with discretion Experience working in a deadline-driven, in-office environment This position is primarily office-based. Occasional lifting of up to 25 pounds (such as office supplies or documents) may be required. Pay range:
