We are seeking a dynamic and organized Office Assistant to join our wholesale team and help keep our daily operations running smoothly. This vital role involves providing exceptional administrative support and ensuring the office environment is welcoming and efficient. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to support various office functions and enhance overall productivity. Duties Manage screen calls, and direct inquiries appropriately Handle data entry, filing, and document proofreading to maintain accurate records Utilize Microsoft Office Suite and Google Workspace tools for correspondence Perform basic bookkeeping tasks using QuickBooks or similar accounting software to create invoices Support office management tasks such as supply inventory, organization of files, and managing shipments that are going out daily Provide customer service support by addressing inquiries promptly and courteously Maintain a clean and organized area to create a welcoming atmosphere Experience Previous office experience or clerical experience demonstrating strong organizational skills Some experience in shipping tasks, invoicing, and problem solving Proficiency in Microsoft Office (Word, Excel) and Google Workspace applications Experience with phone etiquette best practices Bilingual abilities are highly preferred to assist diverse clients and staff Familiarity with QuickBooks or bookkeeping software is a plus Strong organizational skills with the ability to prioritize tasks effectively Excellent communication skills with a professional phone manner and customer service orientation Personal assistant or office management experience will be considered an asset Ability to handle confidential information discreetly and maintain accuracy in data entry tasks Join us in a role that offers the opportunity to make a meaningful impact by supporting our team's success!
