Position summary
KORALIS ENTERTAINMENT
is seeking an organized, dependable Administrative Assistant to work closely with the CEO from our Daytona Beach office. The successful candidate will provide day-to-day executive and business administration support, help establish efficient systems, and ensure that important tasks and commitments are followed through. This is an opportunity for a capable junior administrator who wants to grow professionally and develop into an Executive Assistant as the company expands. Key responsibilities
  • CEO support: Coordinate the CEO's calendar, meetings, travel, email, and correspondence; maintain priorities and follow-up lists; and draft communications for review.
  • Business administration: Maintain company records, organize contracts and NDAs, coordinate with accountants and attorneys, process invoices, track expenses, and manage vendor records under supervision.
  • Investor administration: Maintain contact databases, organize investment documentation, schedule meetings, and track outstanding paperwork.
  • Recruitment coordination: Assist with job postings, application screening, interview scheduling, and employee onboarding.
  • Office management: Manage supplies, equipment, deliveries, and general office organization.
  • Operational support: Coordinate meetings and administrative trackers for the broadcaster and film procurement teams, and follow up on assigned deliverables.
Documentation:
Prepare reports, spreadsheets, presentations, and internal documents when required.
  • External communication: Communicate with partners, vendors, investors, and other stakeholders on behalf of the CEO, with appropriate direction and approval.
Marketing responsibilities are not included in this position. Ideal candidate The ideal candidate will have strong general business administration skills, excellent written and verbal communication, a high level of discretion, and exceptional attention to detail. They should be comfortable working independently on assigned tasks while knowing when to seek guidance. Strong organizational ability, dependability, initiative, and the ability to handle sensitive financial and investor information confidentially are essential. Proficiency in Microsoft Office and Google Workspace is expected, particularly Word, Excel, Outlook, Google Docs, Sheets, and Calendar. Familiarity with cloud filing, electronic signatures, CRM systems, task-management software, and AI productivity tools is advantageous. Entertainment industry experience is not required. Growth and success Within the first 90 days, the successful candidate will have established reliable administrative systems, organized the CEO's calendar and correspondence, implemented effective task tracking, and improved the consistency of follow-up across the business. The ultimate measure of success is dependable execution and a meaningful reduction in the CEO's administrative workload. The position is expected to progress toward full-time employment within six months as business needs and funding allow, with potential development into an Executive Assistant role.
Pay:
$25.00 per hour Expected hours: 25.0 per week
