Job Description
Overview We are looking for a motivated, organized, and dependable Administrative Assistant to join our team and work directly with the company owner. This is an important support role for someone who enjoys staying organized, keeping projects moving, support daily office operations, streamline administrative processes, and ensure a smooth workflow across departments, communicating with clients, and helping a busy owner stay focused on priorities The ideal candidate will bring enthusiasm, attention to detail, and a proactive approach to managing a busy office environment. Duties Work directly with the owner to provide day-to-day administrative and project support Manage and maintain project files from start to finish Assist with construction project documentation, scheduling, and coordination Track project paperwork, permits, inspections, and deadlines Communicate professionally with clients by phone and email Respond to routine client questions and follow up on outstanding items Manage permitting and permit-related processes Keep project records, correspondence, and documents organized Help monitor project status and make sure important deadlines and follow-ups are not missed Keep the owner organized, informed, and focused on high-priority tasks Coordinate with team members, contractors, vendors, inspectors, and clients as needed Handle multiple projects and priorities while maintaining attention to detail Take initiative and identify items that need attention Skills Previous construction office background preferred Permitting experience preferred; but will train the right candidate Strong organizational and time-management skills Excellent written and verbal communication skills Professional and confident when communicating with clients Ability to multi-task and prioritize in a fast-paced environment Motivated self-starter who takes ownership of responsibilities Strong attention to detail and follow-through Positive attitude and professional demeanor Reliable, dependable, and punctual Ability to work independently while also being a team player Comfortable learning new processes and systems Google Drive / Google Workspace for Business experience is a plus The Right Person for This Position We are looking for someone who doesn't need to be told what to do every step of the way.
