Job Description

Total Nutrition and Therapeutics is a Medical Lifestyle and Wellness Clinic (located in Lady Lake Florida) looking for a front office coordinator to be an intricate part of the smooth running of our clinic. Professionalism, initiative and office skills are of utmost importance. This position will include a full range of duties with the primary focus being on the following :

Answer telephone, screen and direct calls Take and relay messages professionally and accurately Provide information to callers and greet clients entering the clinic with warmth and professionalism Ensure knowledge of staff schedules and provider availability Monitor client access and maintain security awareness Schedule and manage client appointments in the EHR system Provide general administrative and clerical support Complete end of day reporting including reconciliation of daily balances — attention to accuracy is essential Identify and resolve discrepancies in end of day reports using sound problem-solving skills Maintain a clean, organized, and welcoming reception area and lobby Other duties as assigned Key Competencies Excellent verbal and written communication skills Professional personal presentation Strong customer service orientation — warm, client-focused, and solutions-driven Basic bookkeeping skills — comfortable with end of day report balancing and financial reconciliation Strong problem-solving skills — ability to identify issues and resolve them proactively Information management and organizational skills Attention to detail — accuracy in all tasks is a non-negotiable Initiative and reliability Ability to remain calm and professional under pressure
Education and Experience:
Minimum of High School diploma or equivalent (Required) Medical office experience: 1 year minimum (Required) — familiarity with a clinical front desk environment, EHR systems, and healthcare terminology strongly preferred Bookkeeping or end of day report balancing experience: preferred Customer service experience: 1 year (Required) Knowledge of administrative and clerical procedures Proficiency with computers and relevant software applications Phone etiquette and keyboard skills Expected hours: 40.0 per week
