Office Support Assistant We're looking for an organized, energetic and people-focused Office Support Assistant to join our Central Florida team in a part-time flex role supporting our Leesburg and The Villages offices . This is much more than a traditional front-desk position. Our Office Support Assistant plays an important role in the day-to-day life of our offices, supporting our agents, assisting leadership, helping coordinate events and meetings, keeping office operations running smoothly, and making sure agents and guests feel welcomed and supported. This position offers variety throughout the week, with time regularly scheduled between our Leesburg and The Villages locations based on the needs of each office. The right person will be comfortable adapting to different priorities, working independently when needed and becoming a trusted resource across our Central Florida team. We're looking for someone who is dependable, detail-oriented and comfortable juggling multiple priorities, but who also genuinely enjoys working with people and being part of a collaborative, fast-moving environment. We especially value someone who takes initiative, notices what needs to be done and is willing to jump in and help. What You'll Do Greet agents, clients and guests with professionalism and genuine hospitality Provide day-to-day administrative and operational support to office leadership Serve as a helpful resource for our real estate sales associates Assist with onboarding new sales associates and processing departing associates Help coordinate office events, sales meetings, trainings and other activities Prepare and maintain sales reports and other business reporting Monitor and respond to office correspondence, emails and requests Perform compliance reviews for required real estate transaction documents Process desktop deposits for incoming commission checks Coordinate office vendors, supplies and facility needs Help troubleshoot basic technology and office equipment issues Create and update agent websites using MoxiWorks Create and post agent recognition and social media shout-outs Provide support for occasional field-based operational needs Assist with special projects, process improvements and other office initiatives Help keep both offices organized, welcoming and running smoothly What We're Looking For Previous experience in an office, administrative, customer service or similar professional environment preferred Real estate experience is helpful, but not required Strong organizational and time-management skills Excellent attention to detail Friendly, professional and customer-service focused Comfortable communicating with a wide variety of personalities Able to prioritize and manage multiple tasks in a fast-paced environment Able to adapt easily to changing priorities and the needs of multiple office locations Proficient with Microsoft Office, including Outlook, Word and Excel Comfortable learning new technology and software platforms Strong written and verbal communication skills Dependable, resourceful and willing to take initiative A team-oriented attitude and willingness to pitch in when needed Reliable transportation and ability to regularly travel between our Tavares and The Villages offices About Us Coldwell Banker Vanguard Realty is committed to providing exceptional service to our customers while creating an environment where real estate professionals can build successful, sustainable careers. This is a part-time, in-person position that works between our Leesburg and The Villages locations . The weekly schedule may vary based on business and office needs. The role requires regular communication with agents, staff, customers and vendors and includes periods of sitting as well as occasional standing, walking, bending and lifting or moving office supplies and boxes.
