Job Description

Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team and support our daily operations. This role is vital in ensuring the smooth functioning of office activities, providing exceptional customer service, and maintaining efficient administrative processes. The ideal candidate will bring enthusiasm, attention to detail, and a proactive attitude to help foster a productive and welcoming work environment. As an integral part of our team, you will handle a variety of clerical and office management tasks, contributing to the overall success of our organization. Responsibilities Perform data entry and maintain organized filing systems for easy retrieval of documents and records Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for document creation, email correspondence, and scheduling Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping and invoicing Support calendar management and scheduling for executives or team members, coordinating appointments and meetings Provide excellent customer support by addressing inquiries promptly and courteously, both in person and via phone or email Conduct proofreading of documents to ensure accuracy and professionalism before distribution Maintain office supplies inventory, order necessary materials, and ensure the office environment is tidy and well-organized Support medical or dental reception duties if applicable, including patient check-ins, appointment scheduling, and insurance verification Requirements Proven experience in an office environment with clerical or administrative responsibilities Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and basic data entry skills Familiarity with QuickBooks or other bookkeeping software is preferred Excellent organizational skills with the ability to multitask effectively in a fast-paced setting Bilingual abilities are a plus to assist diverse client needs Demonstrated customer service skills with professional phone etiquette and positive attitude Ability to manage time efficiently while handling multiple priorities simultaneously Attention to detail for proofreading documents and maintaining accurate records Personal assistant experience or office management background is beneficial but not required Join us as an Administrative Assistant where your energy, organization skills, and dedication will make a meaningful impact every day.
