ABOUT US
Hawthorne at Leesburg is a 55+ Active Residential Community located in Leesburg, Florida. The Program Office supports over 100 clubs and activities for residents to participate in.
POSITION SUMMARY
: The Program Support role was established for the purpose(s) of assisting residents in the Programs Office, providing scheduling for a variety of activities, and updating and releasing current and accurate information to the residents. This role offers opportunities for professional development and advancement.
ESSENTIAL JOB FUNCTIONS
:
  • Receive and welcome all residents and guests to the Programs Office by providing excellent customer service.
  • Answer all incoming calls and emails to the Programs Office and direct to the appropriate employees.
  • Liaison between residents/clubs and Club Hawthorne Council.
  • Maintain updated master schedule (meeting times, dates, space) for all clubs.
  • Assist with communications between vendors and advertisers as needed.
  • Coordinates table/chair deliveries with staff and residents.
  • Reviews new activities, project requests, etc. and presents their request to the Club Hawthorne Council.
  • Duplicates program instructions, song sheets, tickets, and other written and printed materials needed by Member's activity groups.
  • Submit work orders for employees, resident print requests, and resident concerns.
  • Maintain files, reports, and work orders on various computer programs such as Microsoft Word, Excel, PowerPoint, and TOPS.
  • Compile, create, and proofread information for weekly bulletins, newsletters, and the monthly calendar.
  • Schedules and coordinates events and meetings.
  • Ensure set-ups are complete, accurate, and on time.
  • Set up and attend Council meetings - Take minutes, transcribe, and distribute to Council and necessary parties involved. After they have been reviewed by Council, email for posting to the website, and post them to the bulletin board behind the copier. Advise as necessary.
  • Maintain and publish an accurate database of resident birthdays, and anniversaries as well as an accurate database of deceased residents.
  • Any additional duties assigned by designated Board of Director, management, or department supervisor.
EDUCATIONAL AND EXPERIENCE REQUIREMENTS
:
    Technical Skills Preferred:
    Proficient in MS Office applications such as Word, Excel, Access, Publisher, among others.
    • Must be a United States Citizen or eligible to work in the United States.
    • Must possess a valid Florida Driver's License with an acceptable driving record.
    • Must successfully pass a background check and alcohol and drug test.
    • Ability to read and follow written and oral instructions.
    • Ability to establish and maintain effective working relationships and work cooperatively with coworkers, residents, guests, and the general public.
    • Excellent work history and attendance record preferred. Must be available for on-call shifts.
    • Coordinates work efforts with other employees and organizations.
