Full-Time Position Summary We are seeking a highly organized and detail-oriented Administrative Assistant to join our growing home building team. This role combines traditional administrative responsibilities with construction administration duties, including permitting, project documentation, and coordination with subcontractors, municipalities, and internal staff. The ideal candidate is a proactive problem solver who can manage multiple priorities in a fast-paced environment while maintaining accuracy and professionalism. Key Responsibilities General Administrative Duties Answer and direct incoming phone calls and emails. Maintain filing systems, both electronic and paper. Schedule meetings, appointments, and inspections. Prepare correspondence, reports, and other documents. Assist with data entry and record management. Support company leadership with daily administrative tasks. Construction Administration Duties Prepare, submit, and track residential building permit applications. Coordinate with local municipalities to obtain permits and approvals. Maintain permit logs and ensure all required documentation is complete. Schedule inspections and monitor project milestones. Assist with project documentation, contracts, purchase orders, and change orders. Coordinate with project managers, superintendents, subcontractors, and vendors. Maintain accurate job files and construction records. Track project deadlines and follow up on outstanding items. Ensure documents comply with company standards and local regulations. Qualifications Previous experience in an administrative assistant or office administrator role required. Construction administration experience strongly preferred. Experience preparing and managing residential building permits is highly preferred. Strong organizational and time-management skills. Excellent written and verbal communication skills. Ability to manage multiple projects and deadlines simultaneously. High level of attention to detail and accuracy. Proficiency with Microsoft Office (Word, Excel, Outlook). Experience with construction management software is a plus. Ability to work independently while collaborating with a team. Preferred Skills Knowledge of residential construction processes. Familiarity with permitting requirements and municipal procedures. Experience working with subcontractors and vendors. Strong problem-solving and critical-thinking abilities. Professional, dependable, and customer-focused attitude.
