Job Description

We are seeking a dynamic, organized, dependable, and flexible High School Administrative & Classroom Support Assistant to join our educational team. This vital role combines administrative support, classroom assistance, student supervision, data management, and schoolwide coordination to help ensure the smooth operation of our high school. The ideal candidate is a true "jack of all trades" —someone who is comfortable taking on a variety of responsibilities, enjoys working with students and staff, and is willing to jump in wherever help is needed. No two days may look exactly the same, and we are looking for someone who can confidently shift from assisting in a classroom to entering schoolwide data, reviewing transcripts, coordinating testing, supervising breakfast or lunch, or helping the administrative team with special projects. This paid position offers an exciting opportunity to make a meaningful difference in students' lives while developing and utilizing valuable skills in education, administration, office management, data entry, and student support . Duties & Responsibilities Provide classroom support by assisting teachers with instructional activities, preparation of materials, organization, and student supervision. Assist students and teachers with day-to-day classroom needs and activities. Manage and maintain accurate schoolwide data , including attendance, grades, student records, and other administrative information. Review student transcripts, credits, courses, grades, and academic records for accuracy and completeness. Assist with graduation tracking and other academic recordkeeping as needed. Coordinate and support testing , including state, district, and school-based assessments. Assist with testing schedules, student rosters, materials, room assignments, communications, and other testing logistics. Help supervise students during breakfast, lunch, transitions, arrival, dismissal, and other assigned periods . Support front desk operations by greeting students, parents, visitors, and staff with professionalism and warmth. Answer and direct calls using a multi-line phone system and respond to inquiries courteously. Assist with office management, including scheduling, correspondence, filing, organizing records, and maintaining supplies. Perform accurate data entry and maintain organized electronic and paper records. Prepare, proofread, and organize reports, forms, newsletters, spreadsheets, and other school communications. Utilize Microsoft Office Suite , including Word, Excel, and PowerPoint, along with other school-based software and systems. Assist with bookkeeping and financial recordkeeping, including tracking expenses and maintaining documentation, as needed. Provide bilingual support to students, families, and staff when applicable. Handle confidential student, family, and school information with discretion, integrity, and professionalism. Assist administrators and staff with special projects, events, meetings, and other schoolwide activities. Provide support wherever needed to help the school operate effectively. Be willing to learn new responsibilities, systems, and procedures. Perform other duties as assigned by school administration. Skills & Qualifications The ideal candidate will have: Strong computer literacy and proficiency with Microsoft Office Suite , particularly Word and Excel. Strong organizational skills and exceptional attention to detail. Excellent data entry, typing, proofreading, and recordkeeping skills. The ability to multitask, prioritize competing responsibilities, and meet deadlines. Excellent verbal and written communication skills. Strong customer service skills and professional phone etiquette. The ability to work effectively with high school students, teachers, administrators, parents, and visitors. The ability to maintain confidentiality and handle sensitive student information responsibly. A positive attitude and a willingness to take initiative. Strong problem-solving skills and the ability to work independently. Flexibility and a willingness to wear many hats and help wherever needed . The ability to remain calm, organized, and professional in a busy school environment. Bilingual abilities are highly valued to support communication with diverse student and parent populations. Previous experience in administrative support, office management, education, reception, or a similar role is preferred. Experience with student information systems, transcript review, testing coordination, QuickBooks, or similar software is a plus. You may spend part of your morning helping a teacher in the classroom, assist with breakfast supervision, enter schoolwide data, review student transcripts, coordinate testing activities, and then help the administrative team with a special project in the afternoon.
