Description:
We are seeking a detail-oriented Part-Time Administrative Assistant to provide administrative support to the entire team. We are seeking a candidate who is willing to accept challenges and perform duties that may vary according to need. The ideal candidate should possess excellent communication skills, be able to multi-task, and be able to maintain confidentiality. Answers all incoming facility phone calls, take messages, email or notify staff Logs all mail and packages Assists with projects from other departments, as necessary Order UBERs as needed for transportation team Inventory, maintain and prepare all welcome bags/handbooks for Admissions team to distribute Maintains and orders office supplies for every department Inventories and maintain supplies for on-site store Update Locker list in the system and assign lockers for new patients Complete discharge forms for all patient valuables discharging and pull their belongings Obtain patient items from their locker upon request Fill Patient store orders Assist patients with any questions or concerns to include, but not limited to, making copies, getting messages to staff, getting credit card numbers from lockers, faxing, scanning, emailing, printing, laminate, etc Shares pertinent information with team as obtained from patients or families Obtain hygiene products from patient bin upon request Distribute laundry soap and dryer sheets to patients Keep all forms in common areas stocked for patients Maintains a professional atmosphere both on the telephone and in the facility. Completes other tasks, as assigned. Attends in-service training, when necessary. Adheres to all company policies and procedures. Ensure that documentation is timely, consistent, clear and articulate Keep clinical records secure at all times and maintain confidentiality pertaining to clients and families Will accept and utilize supervision Address problems noted by supervisor Will communicate with supervisor and keep supervisor informed of significant case developments Participate in Quality Improvement activities and contribute to the welfare of the organization Pursue professional development through participation in education and training programs Complete Incident reports as required. Maintain healthy boundaries Adapt to different types of patients Demonstrate good strategic and problem-solving skills Have good work habits: complete tasks in a timely and efficient manner, adhere to time schedules, maintain good communication, demonstrate willingness to accept responsibility and function well as a team member and contribute positively to the morale of staff Use verbal and non-verbal communication with others, i.e., courtesy, tone of voice, facial expressions, gestures, etc. Demonstrates excellent organizational skills and originator of new ideas and methods.
Requirements:
High school diploma or equivalent required; Minimum of 2 years of administrative or office support experience preferred. Strong written and verbal communication skills. Excellent organizational and time-management abilities. Ability to prioritize tasks and meet deadlines. Strong attention to detail and accuracy. Ability to maintain confidentiality and exercise sound judgment. Ability to work independently and as part of a team Must be willing to work weekends and holidays. First Shift
