Job Description

Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you provide high-level administrative, personal, and operational support to the executive leadership team. Handle calendar management, travel logistics, personal task execution, internal communication coordination, and general office operations to maximize leadership productivity in a fast-paced property management environment.
Key Responsibilities Executive Calendar & Time Management:
Schedule internal and external meetings, manage tight calendars, resolve scheduling conflicts, and prioritize incoming requests for executive review.
Travel & Expense Management:
Coordinate domestic travel arrangements (flights, hotels, ground transportation), build detailed itineraries, and compile monthly expense reports and credit card reconciliations.
Property & Executive Administrative Support:
Draft and proofread correspondence, format board/owner presentation decks, organize real estate entity documents, and maintain confidential digital filing systems.
Personal & Household Logistics:
Manage personal errands, appointments, vendor coordination for executive residences, vehicle maintenance, and family logistics as directed.
Internal Communication & Gatekeeping:
Serve as a primary point of contact for property managers, vendors, and external partners, filtering communications and handling routine queries on behalf of leadership.
Office & Special Project Operations:
Plan corporate events, owner dinners, and team workshops; order executive supplies; manage mail and incoming documents for the administrative office. Qualifications 3-5+ years of experience as an Executive Assistant, Personal Assistant, or Office Manager (experience supporting leaders in real estate, property management, or finance preferred). Exceptional organizational skills, high attention to detail, and absolute discretion regarding confidential financial and personal information. Strong written and verbal communication skills; tech-savvy with proficiency in Microsoft Office Suite / Google Workspace and calendar platforms.
Pay:
$50,000.00 - $65,000.00 per year
