Job Overview Babcock National Golf and Country Club is seeking an Administrative Assistant to join our dedicated team. This position will work closely with the Director of Golf and team, supporting daily golf operations and enhancing the overall member experience. Job Summary The Administrative Assistant provides administrative support to ensure an efficient golf operation focused on customer service to our members, tenants, and guests. This role involves handling a variety of tasks including verifying and registering new members and tenants, billing questions, and assisting with day-to-day operational needs. The ideal candidate is detail-oriented, proactive, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities Membership Coordination:
Maintaining updated databases and records in Chelsea, Golf 365, and CINC with our member and tenant information. Maintain accurate records of association contracts and correspondence. •
Communication:
Serve as the first point of contact for Association billing, transfer memberships, and billing issues. Assist with board announcements, community communications and updates via email communications with CINC and other channels. Respond to homeowner inquiries and resolve issues promptly and professionally. Assist with
Support Team Operations:
Assist with the counter operations, phone calls, tee times, and other administrative tasks as needed. Help prepare meeting agendas, board packets, and attend board meetings as needed.
Governing Document Compliance:
Ensure that all governing documents required by Florida Statutes are maintained for both the community and SignatureOne. Assist the association with any questions and CAM responsibilities, when needed.
CAM Meeting & Training Attendance:
If licensed or working towards CAM, then attend regional CAM meetings and trainings to stay current on governing document interpretation and association processes.
Reporting & Records:
Support budgeting, monthly statement posting, and collection of assessments. Monitor compliance with association rules and regulations; issue violation notices when necessary. Provide administrative support, including document preparation and filing. Ensure timely follow-up on action items from board meetings.
Qualifications Education:
High school diploma or equivalent; Associate's or Bachelor's degree preferred.
Certifications/Licenses:
Be a LCAM (Licensed Community Association Manager) or this is an opportunity to work towards being a LCAM and gain experience.
Experience:
2+ years of administrative or office support experience. Strong background in customer service with good communication skills and phone etiquette.
Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational and time-management skills. Excellent verbal and written communication abilities. Ability to handle confidential information with discretion. Preferred Attributes Problem-solving mindset and ability to work independently. Professional demeanor and strong interpersonal skills. Adaptability to changing priorities and deadlines.
Pay:
$18.00 - $21.00 per hour
