In this vital role, you will be the backbone of our office operations, ensuring seamless administrative support, efficient communication, and a welcoming environment for homeowners and vendors. Your proactive approach and technical proficiency will help keep our daily activities running smoothly. This position offers an exciting opportunity to develop your skills in HOA office management while contributing to a collaborative workplace. Responsibilities Manage front desk duties, including greeting visitors (homeowners, prospective homeowners & vendors), answering phones and replying to emails. Handle calendar management and scheduling for meetings, appointments, and events using digital calendar systems. Perform simple data entry tasks accurately within QuickBooks. Organize and maintain filing systems—both digital and physical—to ensure quick retrieval of documents, reports and records Provide exceptional customer service by assisting homeowners and prospective homeowners with inquiries, support requests, and general information. Support office management activities by coordinating supplies, equipment maintenance, and general administrative tasks. Proofread correspondence, reports, and documents to ensure clarity, accuracy, and professionalism. Attention to detail is a must. Document management experience. Experience Proven clerical experience or office experience demonstrating strong organizational skills and attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with familiarity with spreadsheets and data entry processes. Demonstrated ability to prioritize tasks efficiently while managing multiple responsibilities in a fast-paced environment. Excellent phone communication skills coupled with proper phone etiquette for professional interactions. Previous experience that highlights organizational skills, time management, technical proficiency and customer support capabilities.
