Permitting & Office Coordinator Blue Flame Professional Services LLC Riviera Beach, FL Job Details Full-time $740 a week 1 day ago Benefits Paid holidays On-the-job training Paid sick time Qualifications Customer communication Filing Administrative experience Attention to detail Time management Office experience Full Job Description Permitting & Office Coordinator Blue Flame Professional Services LLC is seeking a dependable, organized, and detail-oriented Permitting & Office Coordinator for our Riviera Beach office. This is a full-time, in-office position with a primary focus on permitting, project coordination, documentation, scheduling, and customer communication. This position will also be cross-trained in other office functions to provide support when needed. We are looking for someone who is comfortable handling multiple responsibilities, following projects through completion, and communicating professionally with customers, contractors, municipalities, inspectors, and our field and office teams. Primary Responsibilities Review signed project files and proposals and verify required project documentation has been received. Coordinate permit applications and required documentation with municipalities and other permitting authorities. Obtain and organize property surveys, Notices of Commencement (NOCs), permit documents, and other required project information. Submit permit applications and supporting documentation and track permits through approval. Schedule inspections and follow up on inspection results. Maintain organized electronic project files and accurate records. Communicate with customers regarding permitting requirements, missing documents, inspections, scheduling, and project status. Coordinate with office staff and field technicians to help keep projects moving from permitting through completion. Order parts and materials when needed and assist with tracking project-related items. Assist with customer account follow-up and collections when needed. Assist with general office duties, customer service, email, telephone calls, scheduling, documentation, and other administrative responsibilities. Cross-train in additional office functions to provide coverage and support as needed. Qualifications Prior office or administrative experience. Strong computer skills and the ability to work comfortably with email, Excel, PDFs, cloud-based programs, and online systems. Strong organizational and time-management skills. Excellent attention to detail and the ability to follow through on outstanding items. Professional written and verbal communication skills. Dependable and able to manage multiple priorities in a busy office environment. Comfortable learning new programs, procedures, and permitting requirements. Valid driver's license. Ability to safely lift approximately 50 pounds when necessary. Background check required. Must comply with the company's drug- and alcohol-free workplace policy. Training Prior permitting or propane-industry experience is helpful but is not required . The company provides on-the-job training for our permitting processes, QuickBooks, company procedures, propane-related procedures, and required propane dispenser training/licensing. Reporting & Communication This position reports directly to the Office Manager. Blue Flame Professional Services LLC is a family-owned and operated business, and employees may receive requests or direction from company owners and management. To maintain consistency in procedures and priorities, employees are expected to follow established company procedures and the direction of their direct supervisor. If conflicting instructions are received or clarification is needed, the employee should refer the matter to their direct supervisor before proceeding. Schedule & Pay Full-time, in-office position. Monday through Friday, 9:00 AM to 5:00 PM. $740 per week, paid weekly. 90-day probationary period. Benefits Paid company holidays beginning upon employment. After completing one full year of employment, employees are eligible for up to 40 hours (5 workdays) of paid vacation . Paid vacation is limited to 40 hours and is subject to company scheduling, advance approval, and company policy. The paid vacation benefit does not provide additional paid sick days, personal days, or other paid absences. Required company uniform shirts are provided. Work Attire Company-provided uniform shirts are required. Comfortable, work-appropriate pants or leggings and closed-toe shoes or sneakers are permitted. Shorts and sandals are not permitted. Blue Flame Professional Services LLC is a family-owned propane and natural gas contractor serving residential and commercial customers throughout South Florida.
